Creating campaigns and promo codes

Campaigns allow you to offer discounts to your customers using promotional codes (like a special seasonal offer, or a Groupon deal). Once you set up a campaign, you’ll need to connect it to a custom field, which will then be added to one or more items.

1. Create a campaign
A campaign houses all of your promotional codes. Later on, we’ll show you how to price a campaign so that all of its assigned codes use the same pricing rules.
To create a campaign:
- Go to Settings > Campaigns.
Click the New campaign button.
- Enter a name for the campaign.
- Optional: Add a summary to include more detailed information about the campaign. The summary is only visible to Dashboard users.
- Optional: Add a prefix. This only applies if you want FareHarbor to automatically generate codes for you. If you will be adding your own promotional codes, you do not need to fill in this field.
- Click Create campaign.

2. Add promo codes
Promo codes can be determined by you, or generated randomly by the system.
To add promo codes:
- On the Campaigns page, select the campaign you are adding codes for.
Within the campaign, click the Import or generate codes button.
Enter codes manually (one code per line) or choose Generate random codes. If you entered a code prefix when creating the campaign, the manually-generated codes will all start with that prefix.
It is recommended to not include the name of the campaign in the promo code, in order to minimize the potential of somebody ‘discovering’ the code.
- Set the number of maximum uses for each code. If you would like unlimited uses, leave this field blank.
If your campaign runs indefinitely, you do not need to set an amount of generated codes. FareHarbor will automatically generate them as a gift certificate, pass, or discount is purchased.
- Click Add codes.
- If at any time you need to add more codes, just click the Import or generate codes button and follow steps 2-5.
Note: Codes are not case sensitive. You can use a combination of as many letters, numbers, or supported characters (-, _, #, $, %) as you wish.

3. Optional: Add valid or blackout dates
Valid dates allow you to specify dates that your promo codes are valid, while blackout dates let you specify dates that your codes are not valid.
To add valid or blackout dates to your campaign, follow these instructions.
4. Optional: Adding an affiliate to a promo code
You can assign a promo code to a specific affiliate. This will automatically tag that affiliate to each online booking that uses the promo code.
To do this, click the Edit button next to a promo code in the campaign of your choice. Then, click the dropdown to expand the Advanced section. In the ASN Affiliate field, type in the name of the affiliate that you would like to associate with this promo code, then click Save.

5. Create a custom field
Once the campaign and promo codes have been created, you will need to create a custom field to accept the codes.
Note: If you’ve already created a custom field to accept promotional codes, you won’t need to create a new one. Instead, find your existing custom field, click Edit field, then skip to the next step.
To create a new promo code redemption field:
- Go to Settings > Custom Fields.
Click the New custom field button.
- Under Field type, select Campaign code.
- Fill in the rest of the information as needed. Read more about these options.

- Click Create Custom Field. This will take you to the new field’s settings.
6. Add the campaign
You can add more than one campaign to your custom field. This makes it easy to update the field across multiple items when you want to add a new campaign in the future.
To add a campaign to a custom field:
- In the custom field’s settings, click Add campaign to field.
Select the desired campaign from the dropdown.

- Optional: If you want a promo code to apply to every customer on a booking (for example, $10 off every customer) rather than applying to the entire booking total ($10 off the total amount), check the box next to “If priced, change price of all customers on booking.”
- Click the Add campaign button.
Once the campaign is added to the custom field, it will appear under Added Campaigns.
7. Adjust pricing settings
In this step, you’ll update the custom field’s settings to add pricing to the campaign. This is what tells the custom field to apply a price change when a promo code is entered.
To adjust pricing:
- In the custom field’s settings, locate your added campaign.
- Go to the bottom of the Price column to the right of your added campaign (this should say None).
- From the first dropdown, select Change.

- From the second dropdown, select Adjust total by.
- Choose whether to adjust the total by a percentage or dollar amount, then enter the amount below (note: discounts should always be entered as negative numbers).
- Determine the tax types for the custom field.
- Click Save.
For example, if you wanted the code to apply a $20 discount, you would select Adjust total by and enter -$20. If you wanted the code to apply a 10% discount, you would select Adjust total by, choose the % sign, and enter -10%.
Important notes:
To discount the customer’s total, always place a (-) minus sign in front of the amount. If you don’t include a minus sign, the code will add the amount or percentage instead of subtracting it.
Be sure to make these changes in the Price column.
8. Assign the custom field to an item
This final step will allow customers to enter promo codes when booking a specific item online.
- Navigate to the Items tab, and select the item that should include the custom field.
- Select Options & Prices from the sidebar.
- Select the Whole-booking fields tab.
Click + Add custom field, and select the desired code field from the dropdown menu.
If the desired code field doesn’t appear as an option in the dropdown menu, check the Whole-booking fields tab to see if it’s already been added to the item.

Click the Add button to add the custom field to the item.
- Repeat Steps 4-6 to add additional custom fields as needed.
You can also accept promo codes per customer instead of per booking. To accept codes for individual customers, navigate to the Customer types tab in Step 3 instead of the Whole-booking fields tab as described above.
Now what?
Test out your promo code field by going to your website and creating a test booking (you can fill out the book form without submitting it). You can also create a direct booking in your Dashboard and verify that the correct amount is being discounted when entering your code.

Special characters
There are certain special characters that are allowed in code creation, and any non-allowed characters are stripped (removed) when entered.
The allowed characters for code creation are letters, numbers, dashes -, underscores _, #, $, and %.
As mentioned, we strip out all other characters for convenience, like :, spaces, and more. This way, if a Dashboard user inputs the code somewhere as FH:123, it can be entered as FH123 or FH 123 without trouble.
Note, however, that though we allow users and customers to input these easily into the promo code field, we do not allow a code to be created using these characters (client would encounter a form error when attempting to create a code with these characters).
