Private Events

Private Events is only available to businesses based in North America.
The Private Events feature allows you to create and manage custom events and charters. This feature helps improve the experience for businesses and customers alike, streamlining workflows such as client intake, event management, contract management, and invoicing.

Feature overview
The Private Events feature allows you to offer customers a custom, exclusive booking experience supported by additional FareHarbor functionalities. Private Events services include:
- Utilize private event items that can only be booked by Dashboard users or via FareHarbor Dock’s Staff mode.
- Leverage payment schedules to determine when payment is collected, and whether it can occur in installments.
- Provide payment links to customers for efficient payment collection.
- Create custom contracts for customers to review and sign before booking, and accommodate situational needs via contract addendums.
- Use subcomponent (child-level custom field) configuration to streamline custom field calculations.
- Custom field tagging allows you to identify and report on custom groupings.
Feature limitations
- Private event payments can only be processed through Stripe.
- Automated payments are not available at this time.

Onboarding
For existing clients
- Refer all client requests to Account Management.
- Account Managers (AMs) will add a New Opportunity Requested Custom Activity to the lead for a Dashboard Add-On Pipeline.
Complete the following pipeline steps to onboard the client:
- Send the client a message using Close Template: Product – Private Events – Pitch.
- Schedule a call with the client to demo and pitch Private Events.
- Complete a Pitched Dashboard Add-On Custom Activity on the lead.
- Send the following resources as a follow-up:
- Product – Private Events – Request
- Request Form Template (Note: Before sharing this resource with the client, please remember to update document access so anyone with a link can edit.)
- Ensure the client confirms all relevant request form responses.
Submit a live build request to OB; include the client’s completed request form.
- Onboarding will request that PayOps configure the Private Events processing fee for the client’s Dashboard.
For new clients
Account Executives (AEs) should put all necessary Private Events information in the OB document. Follow the OB doc steps below to begin the process.
AEs do not need to send the client any request forms.
- Check the box for Private Events in the Features tab.
- Click on all sheets, then find and click into the Private Events option.
- Fill in all necessary details via the Private Events tab.
- Add a New Opportunity Requested Custom Activity to the lead for a Dashboard Add-On Pipeline. These Add-On Opportunities can co-exist with the Dashboard Sales Opportunities.
- Once the Dashboard has been created, Onboarding will request that PayOps configure the Private Events processing fee for the client’s Dashboard.

Private Events has an additional processing fee that is only charged on Private Event transactions. (Note: This processing fee occurs in addition to the credit card processing fee.) The Private Events processing fee will display as a processing fee.
For example:
- Client’s credit card rate = 1.9%
- Private Event fee = 2%
- Total processing fee for Private Event transactions = 3.9%
Frequently asked questions
How do I enable the Private Event fee?
The Private Events fee feature flag can only be enabled by specific admins. Please work with the PayOps team to set up the Private Events fee.
