Resource overrides

Resource overrides can be used to change a resource’s maximum uses for a specific day or timeframe.
For example, let’s say you have 30 bicycles available for rental, but 5 of your bicycles will be in the shop for repairs over the weekend. You can set up a resource override that temporarily changes the maximum uses of bicycles from 30 to 25 for the affected dates.
Heads up! You may not have the ability to create a resource override, depending on the rights assigned to your permission group. Learn more about permission groups here.
Creating a resource override
- Navigate to the Settings section of your Dashboard.
- Click Resources in the Settings navigation under Build.
- Select the resource you want to create an override for.
- Click the
icon for the date you want to create an override. Enter the details of the override:
- Set the Duration: all day, time range, or day range
- Choose whether the override should repeat or not. If repeating, select which days of the week the override should repeat, and set an end date.
- Enter the new Maximum uses
- Optional: Include a note
Click Create override.

Viewing resource overrides
The resource calendar, located in the resource’s settings, allows you to see your resource capacity and overrides at a glance:

You can also view overrides and their notes from the resource timeline. This is useful for seeing resource overrides in conjunction with resource uses.

Changing a resource override
- Go to the Items section of your Dashboard.
- Select the Resources tab.
- Select the resource you want to update.
- Click on an override to edit its settings.
From here you can adjust the time, length, and maximum uses. Or, if needed, you can remove the override by clicking the Delete override button. To save your changes, click Save override.
Notes
If creating or changing an override will result in the resource being overused, you’ll be given a warning message. You can choose to create or save the override anyway, or click “Change options” to enter a different maximum use count.
If you create a resource override for a specific time frame, any availabilities that fall completely within the time frame will use the override. Availabilities that overlap with only part of the timeframe will use whichever setting is more restrictive.
For example, if you have an activity from 1-3pm with 30 maximum bicycle uses, then set up an override from 1-1:30pm for 40 maximum bike uses, the availability will still only allow 30 maximum uses.
If you have overlapping overrides, the most restrictive setting will always be used, even if another override was created more recently.
For example, if you set up an override from 4-6pm for 30 maximum bicycle uses, then set up an override from 5-7pm for 40 maximum bike uses, the maximum uses between 5-6pm will be 30.

Resource overrides can be any length you want; there is no minimum or maximum. However, keep in mind that while we show resource timing to the minute, it’s actually to the second. This means if you want an override of 1/3 of an hour (i.e. 20 minutes) and enter .33 in the “Hours long” field, you are actually getting slightly under 20 minutes (19:48).

Previously, users with the permission to create and edit resources could create and edit resource overrides. Now, in order to create and edit resource overrides, users must have the permissions to create and edit resources AND edit or remove individual resource uses.
