How do I create/update resources?
If you do not already have shared resources set up in your Dashboard and are interested in doing so, please get in touch with FareHarbor Support. Our team will work with you to determine the best setup for your business, which will allow us to create and assign your resources as needed.
Note: We highly recommend contacting FareHarbor Support if you need to add, remove, or make changes to your resources. Because resources affect your online calendar, book form, availability capacity, and more, it’s best to let us know so we can ensure all parts of your Dashboard are updated accordingly.
How do resources interact with an availability’s capacity?
When a new booking is being created, FareHarbor will always check both the availability’s total capacity and maximum resource uses to ensure that you will not overbook. If one of these restrictions is met before the other, the availability will automatically warn you of overbooking. Online customers will never be able to make any selections that will lead to overbooking.
When viewing the Bookings section of your Dashboard, you can use the Show # available option to see how many spots are left for each availability. This number is based on both the availability capacity and any maximum resource uses in play. Learn more about availabilities and capacity.
You can also compare capacities and resource uses by opening an availability and clicking into the detailed capacity menu.

How can I see how many resources are in use?
You can see how many resources are in use from several different places on the Dashboard:
- From the Shared Resources section, view the resource’s detailed uses
- From the Bookings section, use the resources timeline
From an availability’s settings, open its capacity menu and select “Resources”:

When no resources are left for a specific time, can I show a ‘Sold Out’ or ‘Unavailable’ message on my online calendar?
Not at this time. Once an availability’s required resources are all in use, it is automatically removed from your online calendar to prevent any resources from being overbooked.
What happens if I change the time of an availability that has resource requirements?
If you change the time of an availability that has resources added to it, the resource use will not be updated to the new time. To ensure that resources are allocated correctly, it’s best to create an availability for the new time, and rebook any existing customers to the new time.
How do I know if I’m overusing resources?
When making a booking, you will be notified in the customer type dropdown when a selection will lead to overbooking the availability’s total capacity, customer type capacity, or resources.

When not enough resources are available for the customer types you’ve selected, you will be shown an “Overusing resources” message in several different parts of the book form.

You can still complete a booking with these warnings, but we recommend making sure that you have enough resources for all bookings. If needed, you can create a resource override to increase the number of maximum uses for a resource.
When viewing the Bookings section of your Dashboard, availabilities with overused resources will include an “Overusing resources” message.

Why am I seeing an ‘overusing resources’ message when resources are not overused?
Depending on your setup, you may sometimes see an unexpected “Overusing resources” message in your Dashboard.

This is due to the way resource requirements currently work in FareHarbor. Once a resource is overused at a given time, any availability that overlaps with that timeframe that could potentially use the resource is considered overused, resulting in an “Overusing resources” message.
For some setups, this is the desired approach. However, if you do not want to see the “Overusing resources” message in these instances, you can create a resource override to increase the resources’ maximum uses for a particular day. Learn how to create resource overrides.
Note: Creating an override will also remove the “Overusing resources” message on availabilities that are actually overusing resources. Before creating an override, we recommend making sure you’ve made a note on any availabilities that are in fact overusing resources.
