Using the resources timeline
Last updated: May 19, 2023
You can keep track of your resources directly from your bookings calendar using the Timeline view.

To set up your resources timeline, open the menu in the upper-left corner of your bookings calendar and select Timeline. Then open the Setup menu and select Resources.
Resources will be listed on the left side of the timeline. By default, only resources in use on the current day will be shown. You can further customize your view using the following options in the Setup menu.
Format view
Show resource uses: Includes a visual representation of when each resource is being used. Resource uses are shown by default.
- Group by: Resources being used for the same timeframe can be grouped together by booking, availability, item, or resource. The Booking option provides the most detail, whereas the Resource option groups all resource uses with the same start and end time together, regardless of what booking, availability, or item they’re being used for.
Show resource overrides: Includes a visual representation of each resource override you’ve set up.
Hide resources that have no uses: By default, resources that are not being used in the specified timeframe will not be shown. Uncheck this option to see all resources, regardless of whether they’re being used or not.
Tip: If needed, you can use the Filters menu to specify exactly which resources you want to see.
Show overviews in timeline

Overviews can be helpful for getting an idea of how many resources are used or available at any given time. For each resource, you can display the following information:
- Resource use count: How many of that resource is currently in use
- Total resource capacity: Maximum number of that resource that can be in use, based on the resource’s settings (if an override has been created, it will take precedence)
- Unused resource capacity: How many of that resource is available
By default, the unused capacity overview will always be shown.
Hour range
- Automatic: The automatic hour range will adjust to show all resource uses for the day (with an extra hour on either end). This setting will be used by default unless a custom hour range is set.
- Custom: Allows you to set a specific timeframe for the selected day. For example, 8am to 5pm, or 4pm to 10pm.
Tip: Once you’ve adjusted your resource timeline to your liking, you can save your preferred settings using custom calendars. Learn more about custom calendars.
Notes
When using the timeline view, dotted lines indicate availabilities with a length of 0 (for example, general entry events). Although they appear as two hours on the timeline, you’ll see when hovering over the availability that only a start time is shown.
