How to use company admin notes

Admin notes provide an easily-accessible, centralized place for FareHarbor Admins to keep important information about a company’s Dashboard, such as item-specific notes and an activity log of major changes. They are a tool that offers concise insights into specifications about the Dashboard functionality and important information about the client. The goal is to keep the notes concise and clear. Admin notes are a requirement on Dashboards, even if you only have a one-item dashboard with no complexity. It is recommended to review the Dashboard notes before making any changes.
How do I update/ create the notes?
To create Dashboard notes:
- Hold together shift + ?.
- Click on the “Add notes” button.
- Add relevant information
If you need to flag the company click “Flag this company” button

Use Markdown as needed to ensure ease of reading and understanding

To update Dashboard notes:
Click on the
symbol that can be found in the top right corner of the toolbar.

Scroll down and click Edit notes

- Follow the steps outlined under the Create dashboard notes section.
Admin notes will show basic details of the company as well as select features enabled in the Dashboard. The name of the organization, website and phone number are taken from Info & Policy section of the Dashboard.
- Note: ‘Joined FareHarbor’ date is based on when the first online booking came in, not the Live date in close.
The specific features that will appear in the admin note when enabled are:
- Translations
- Allow online customers to book in any language FareHarbor supports
- Cart
- Dashboard orders
- Suggested items
- Transportation
- Seating assignment
- Price schedules
- Number of affiliates
- Number of outstanding Gift Cards.
- Disable profile (shortname) pages
- “Search by date” view for online booking
- Automatic online price previews
You can use admin notes to quickly assess a Dashboard without having to jump into every section of a Dashboard’s advanced settings.
Note: This admin note layout aims to lessen the amount of features written in the admin note if usage of that feature is normal. We want to be careful about what we are placing in the admin note for Dashboard longevity.

Tips and best practices
- If you make any updates to a dashboard, it is your responsibility to update the admin note to accurately reflect any changes made.
- Keep notes focused on Dashboard-related information (as opposed to strictly business-related information, etc.).
- Information that can be included: AM/ OB team should be contacted before making updates; Unique use of features; Payouts after availability end; API Connectivity specifications (this information can be added by API Connectivity team)
- Keep things professional. Ask yourself: Would this make FareHarbor look bad if the client accidentally saw it on a screenshare?
- Additional Feature Notes highlight irregular or specific usage of additional features that FH Admins need to be aware of. This does not include standard feature enablements.
- Item Specific Notes briefly specifies an item’s individual features. Instead of labeling numerically (ex. 1-5), Item IDs or names should be used when noting any characteristics. If the item order is rearranged, the IDs and names are still relevant.
- Resource Notes help FareHarbor admins to quickly understand each resource set up and why it was done this way.
- Affiliate Notes are used to explain how the Dashboard is using affiliates and how FareHarbor admins should be aware of that when working with the Dashboard.

- Major Updates Log are changes to customer types, prices, nets, or anything significant. Enter your name, what you updated, and the date of the update in this section.

Flagging a Dashboard
When should I flag a Dashboard?
When a company has a functionality piece that any FareHarbor admin working on the Dashboard needs to know.
For example, resources are set up in a special way, custom fields visibility is controlled by price sheets, the use of seat map is complex and require extra time to understand, payout after availability ends, unique ways to use gift certificates etc.
How do I flag a Dashboard?
From the admin notes overlay, click the Edit notes button and check the “Flag this company” box:

Notes will be highlighted in the overlay and flagged with an orange bar at the top of the Dashboard:

FAQs
Who’s responsible for updating the notes? – Everyone. OB will add notes as needed during the onboarding process. When the client is live all teams making changes on the Dashboard are responsible for keeping the notes up to date.
How do I know the notes are up-to-date? – A good indicator that the notes might be outdated is if the last updated note is longer than 6 months.

When should the notes be updated? – As needed. For example: a major update has been performed, users should provide a password, etc.

What if the notes are outdated? – Take a moment and update them. Update any relevant information relating to the inquiry you’re attending. Example: Currently working on Seat map request and the seat map is more complex, and noticed that this information is missing from the notes.
