Contacts report
Last updated: January 12, 2024
The Contacts report allows you to view and download customer information—such as names, email addresses, and phone numbers—for a specific date range and set of booking criteria.
To locate this report, navigate to the Reports section of your Dashboard. The Contacts report will be located in the Reports menu, below Invoices.
How you can use the Contacts report
There are many different ways you can use the Contacts report to collect the contact information you need. Here are just a few examples:
- Gather phone numbers of customers who are participating in a specific activity
- View a list of all customers booked by a specific affiliate
- Compile your customers’ contact information for an email campaign or another form of outreach
Remember that there are laws about sending unsolicited emails, even if someone willingly provided their contact information to you. Learn more here.
Filter options
Filters allow you to view customers for bookings that meet certain criteria. If a customer has more than one booking, they will show up on the report if at least one of their bookings meets the filter requirements.
Below are the default filter settings for the Contacts report:

Item: Filter for all items or one specific item.
Booking source: If you work with affiliates, you have the option to filter by customers booked by one specific affiliate, customers not booked by an affiliate, or customers booked by all affiliates.
Created by: Filter by the user who created the booking. Choose a specific user, online customers only, or everyone.
Cancelled bookings to include: By default, the report will show customers for cancelled bookings that have not been refunded. You can also choose to include customers for all cancelled bookings, no cancelled bookings, or only cancelled bookings.
Report columns
The report will show you customer names, email addresses, and phone numbers, along with a few extra details:
The Opt-In column tells you if a customer opted into receiving future emails when their booking was created. Contacts with a check mark in this column have given you permission to add them to a mailing list.
The Postal Codes column contains billing zip codes for any cards charged or saved on the bookings that match your filter options. Remember that this might not necessarily be the same zip code as the customer’s home address.
Click the >> symbols in the View column to see a summary of that customer’s booking. From there, you can edit the contact information or click into the booking overview. The View column is only available in the Dashboard and will not be included if you download the report.
If you’re using Translations, the Contact Language column tells you which language the customer booked in. Emails sent from FareHarbor will be sent in this language.
Additional options
If you want to be able to see additional booking details along with customer information, you can create a Detailed bookings report and select the Include customer phone and email option.
As with all reports, you can share, download, or print the Contacts report if needed.
