Archiving an item
Last updated: April 8, 2022
If an item is no longer in use, you can hide it on your Dashboard by archiving it. Archiving items makes it easier to manage your day-to-day tasks while ensuring that no previous booking information is lost.
Before archiving an item, please note the following important information:
- An item cannot be archived if it has any future, uncancelled bookings.
- Once an item is archived, it can no longer be booked by online customers or your staff.
- New availabilities cannot be created for archived items.
Archiving an item
Before archiving an item, first make sure that there are no future bookings on the item. If future bookings exist, you will need to cancel or rebook them to another item.
To archive an item, watch a short video demo or follow the steps below.
- Go to the Items section of your Dashboard
- Select the item you want to archive
- From the item’s settings, go to Online Booking > Bookability
- Check the Archived box at the top of the page
- Save your changes
Viewing archived items
From the Items section of your Dashboard, you can view your archived items by opening the advanced settings menu (look for the gear icon) and selecting Show archived items.
Archived items will be located at the bottom of the list by default, but are still sortable when using the list view.
Reporting on archived items
Archived items will be included by default in all reports, allowing you to accurately track your sales and bookings. Archived items will be clearly marked with an (archived) note next to their name.

If you do not want to include an archived item in a report, you can use a filter to specify only the items you want to report on. (Note: Item filters are only available when using advanced reports.)

Important notes
Archived items will be automatically removed from your online booking process, including online calendars, booking flows, suggested items, and External API connections.
- Archived items will still be editable in booking flows in your Dashboard, even though they are no longer visible for online customers.
Archived items will be automatically set to private.
In your Dashboard, archived items will be hidden in most places, including the Bookings section of your Dashboard (including the item filter list) and the Items section of your Dashboard.
In other places, like the “added to items” flyout, archived items will be hidden under the Archived list, which you can click to view:

If you’ve subscribed to FareHarbor from a calendar app like Google Calendar or Outlook, you may still see past availabilities for archived items, if those availabilities had bookings.
Emailing functionality for archived items will not be affected. This means that emails can still be manually sent, and automatic follow-ups will still be sent even after an item is archived.
You can make changes to availabilities on archived items, if needed.
You can also unarchive an item, if needed. To do this, go to the archived item by following these steps, then go to Bookability and uncheck the Archived box.
