How to set up availability openers/closers

Overview
Availability openers & closers in FareHarbor are when a resource “opens” a previously closed availability or “closes” a previously open availability. For instance, if the 8 AM availability receives two bookings, the 9 AM availability will open for that day.
This demo Dashboard displays three different resource setups for:
- Availability openers: Booking into an availability will open subsequent availabilities for that day.
- Cross day openers: Booking into an availability will open availabilities on different days.
- Cross item closers: Booking into an availability will close off that corresponding availability on another item (most frequently used for company’s with multiple locations).
Resource/Availability Openers
Keep in mind, the smallest increment of usage that a resource can be set to is to the hundredth place (0.01). Due to this, the availability opener will not function as intended on availabilities with capacities larger than 100 because once the 0.01 usage is utilized 100 times, it will go over 1 (which would overbook the availability opener resource). For avails where over 100 people must be able to book, the number of max uses of the opener must be artificially increased and multiples have to be used by the CT using the opener in order to achieve the expected result.
- Create your availability opener resources. You will need one resource for each pair of availabilities. For example, if you have five availabilities per day on a calendar, you will need to create 4 resources. As a result, the 1st availability opens the 2nd, the 2nd opens the 3rd, etc.
- Set the max use of the resource. For availability openers, the max use should be one less than the amount of customers that need to book into the availability to open the second availability. In addition, the max use should always be a negative number. For example, if the client wants 5 people to open the next availability, the max use of the resource should be -4. This allows the resource to be booked into 5 times before “opening” the second availability.
- Use default creation: Create uses, check overuse
- Restrict To: None
Add first resource requirement group (Item settings > Options & Prices > Required Resources). Each availability will need its own resource requirement group attached. If there are three availabilities, we need three resource requirement groups. For instance, the first resource requirement group “First Availability | 8AM” is attached only to the 8AM availability.
- Availability openers alternate using negative and positive numbers. The negative number opens up the resource, while the positive number dictates how many people can book into it. The positive number should reflect the availability capacity so all available spots are opened. However, any resources attached or availability capacity will always override. A good rule of thumb is to use 0.01 as the positive number, this will guarantee all capacity spots will be opened.
- All requirement options should use the resource from midnight on day of availability for one hour long. This guarantees that the different resources will “talk” to each other, meaning that the resources will overlap even if the availability times do not overlap usage.
- For the first availability’s resource requirement group, begin by adding every customer using -1 of Opener 1 resource. This will begin to allow the first and second availability to talk.

Add second resource requirement group.
Create a resource requirement group for the second availability.
Ex. “Second Availability | 8:30AM”
- As stated before, availability openers need to alternate from negative to positive numbers. Thus, every customer should use 0.01 of Opener 1 resource from midnight on day of availability for one hour long. This allows the first and second availability to talk to each other.
- Then, every customer should use -1 of Opener 2 resource from midnight on day of availability for one hour long. This will begin to open the third availability.

- Add third resource requirement group.
- Create a resource requirement group for the third availability. Ex. “Third Availability | 9AM
- Continuing to alternate negative and positive numbers, every customer should use 0.01 of Opener 2 resource from midnight on day of availability for one hour long.
- Continue the steps above for each availability you have.
- For instance, if you had a fourth availability, you would need to add a requirement option into the third resource group using -1 of Opener 3.
Add your resource requirement groups onto the corresponding availability.

- Once the calendar is built and resources are applied, test your work! The only open availability should be the first occurring one. In this example, once five people book into the first availability, it will open the second availability, and so on.
Cross-Day Resource/Availability Openers
Create your cross-day availability opener resources. You will need one resource for each pair of availabilities. For example, if you have three availabilities across three days, you will need to create 2 resources. As a result, the 1st availability opens the 2nd, the 2nd opens the 3rd, etc.
- Set the max use of the resource. For cross-day availability openers, the max use should be one less than the amount of customers that need to book into the availability to open the second availability. In addition, the max use should always be a negative number. For example, if the client wants 7 people to open the next availability, the max use of the resource should be -6. This allows the resource to be booked into 7 times before “opening” the second availability.
- Use default creation: Create uses, check overuse
- Restrict To: None

Add first resource requirement group (Item settings > Options & Prices > Required Resources). Each day for the cross day opener will need its own resource requirement group attached. If there are three days, we need three resource requirement groups. For instance, the first resource requirement group “Friday Availabilities” is attached only to the Friday availabilities
- Availability openers alternate using negative and positive numbers. The negative number opens up the resource, while the positive number dictates how many people can book into it. The positive number should reflect the availability capacity so all available spots are opened. However, any resources attached or availability capacity will always override. A good rule of thumb is to use 0.01 as the positive number, this will guarantee all capacity spots will be opened.
- All requirement options should use the resource for a duration that overlaps with the next availability. This guarantees that the different resources will “talk” to each other even if the availabilities do not overlap resource usage. See the photo below for an example:

In this example, the Friday resource group uses the Opener (Friday – Saturday) for 24 hours long to talk to the Saturday availabilities. Then, Saturday resource group uses the same Opener (Friday-Saturday) from 24 hours before midnight on day of availability in order to talk to Friday’s availabilities. Each setup will require different duration manipulation depending on the days being opened.
For the first availability’s resource requirement group, begin by adding every customer using -1 of Opener | Cross Day (Friday-Saturday) resource. This will begin to allow the first and second availability to talk. As seen in the photo above, the resource should be used from midnight on day of availability for 24 hours long.
Add your second resource requirement group.
- Create a resource requirement group for the second set of availabilities. Ex. “Saturday Availabilities”.
- As stated before, availability openers need to alternate from negative to positive numbers. Thus, every customer should use 0.01 of Opener (Friday-Sunday) resource from 24 hours before midnight on day of availability for 24 hours long. This duration setting will ensure overlap between both Friday and Saturday availabilities.
- Then, every customer should use -1 of Opener (Saturday-Sunday) resource from midnight on day of availability for 24 hours long. This will talk to the Sunday availabilities and begin to open them.
Note: The length of resource usage is dependant on the cross days you are opening. Different manipulation is required for different availability setups.

- Add third resource requirement group.
- Create a resource requirement group for the third availability. Ex. “Sunday Availabilities”. Continuing to alternate negative and positive numbers, every customer should use 0.01 of Opener (Saturday-Sunday) resource from 24 hours before midnight on day of availability for 24 hours long. This duration will talk back to the Saturday availabilities while also covering the Sunday availabilities.
- Continue the steps above for each availability you have.
- Add your resource requirement groups onto the corresponding availability. For instance, the Friday resource group should be on the Friday availabilities.
- Once the calendar is built and resources are applied, test your work! The only open availability should be the first day. In this example, once the Friday availabilities are booked, then Saturday will open, and so on.
Location Resource Closer
- Create your location closer resources. You will need one resource for each pair of locations or inventory you are closing. For instance, if you are restricting one boat between either Lake Travis and Lake Austin, you will need one resource “Travis & Austin Location Closer”. However, if you have more than two locations or more than one inventory, for example three locations and two boats, you will need a resource for Location A & B boat 1 , B & C boat 1, A & C boat 1, A & B boat 2, B & C boat 2, and A & C boat 2. This setup can quickly become complicated and it is not recommended unless there is no other way.
- Set the max use of the resource. For location closers, the max use should be an amount that cannot be overbooked. For example, if the item capacity is 10, setting the max use to 100 is safe and will not overuse the resource.
- Use default creation: Create uses, check overuse
- Restrict To: Item. This will ensure that once one item is blocked, the other location item will be closed off.
Add first resource requirement group on one of the items (Item settings > Options & Prices > Required Resources). Each item will need its own resource requirement group.
- Every customer should use 1 of the resource closer from midnight on day of availability for 1 hour long. This will ensure that the resource is restricted to that item for the entire day, and the other location will be closed.

Add second resource requirement group on the other item.
- Repeat the steps above. Every customer should use 1 of the resource closer from midnight on day of availability for 1 hour long. This will ensure that the resource is restricted to that item for the entire day, and the other location will be closed.
- Add your resource requirement groups onto the item calendars.
- Once the calendar is built and resources are applied, test your work! Both items should be available to book. But once one location is booked for a day, the other location’s calendar should be closed off for that day.
Benefits
- Allows clients to have dynamic schedules that provide more offerings as customers book into their activities
- Cleanly opens availabilities automatically vs manually updating calendars as bookings are made
- Allows clients to have two items available to book that cannot happen at the same time, for instance, multi-location companies
Drawbacks
- These setups can quickly become complicated, adding an excess of resources and resource groups to the Dashboard. This makes it hard for the client, Support, and the Account Manager to maintain.
