Saving custom calendars

A custom calendar is a saved collection of settings for the Bookings section of your Dashboard. This is a useful way to personalize your Dashboard or set up views for different activities or users.
Here are just a few different ways custom calendars can be used:
- Filter your Bookings section to only show certain items (for example, a Snorkeling Tours calendar and a Scuba Tours calendar)
- Show only availabilities with specific crew members assigned, then make that the default calendar for those crew members
- Customize how you keep track of capacity, whether you want to see filled seats, available seats, or resources used

Saving a custom calendar
Create and save a custom calendar by using the menus on the Bookings toolbar.
- Set your preferred options using the Filter and Display options menus.
- Open the Custom calendars menu.
- Click New custom calendar.
- Enter a name for your calendar.
Click the Create button.

Your calendar will automatically be added to the list. To view a custom calendar, simply click on its name, and the saved filters and options will be applied.
Notes
If you save a specific Bookings view (Month, Day, etc.) to a custom calendar, that view will override your Dashboard’s default Bookings view when the custom calendar is in use. (Not sure what your default view is? Go to the Settings section of your Dashboard and click the gear
icon in the upper right. Your default view is located under the View section.)The first custom calendar in the list will appear as the default calendar for all users in your company. However, you can set individual default calendars for different users, if needed.
Accessing a saved custom calendar
To access a saved custom calendar:
- Go to the Bookings section of your Dashboard.
- Open the Custom calendars menu from the Bookings toolbar.
Choose your custom calendar.

Once selected, the custom calendar will be applied to your Bookings section. It will also be highlighted in the custom calendars list. If you make any changes, remember to save your calendar again to retain the changes.
Tip: You can set a custom calendar as your default view or set a default calendar for your whole company by reordering the custom calendar list.
Editing a custom calendar
If you need to make changes to a saved custom calendar, you can do so by selecting the desired calendar, editing your options, then re-saving it with the same name.
- Select the calendar you wish to edit using the Custom calendars menu.
- Adjust your preferences using the Filter and Display options menus.
- Click Custom calendars again and click the edit
icon next to your calendar’s name. - Select the box next to Update to current settings on save.
Click Save.

Setting up an individual default calendar
Any user can set up their own default calendar in their personal settings. By default, company directors and admins also have the ability to update the default calendar for other users.
- Go to Settings in your Dashboard.
- Select Users & Permissions from the Settings menu.
- Click Edit next to the user’s name.
- Select the Account tab, then the Defaults tab.
- Under Default custom calendar, select the preferred calendar.
- Click Save.

Reordering custom calendars
You can reorder the list of saved custom calendars by dragging the reorder icon to the right of the calendar name.
Remember: The first custom calendar on the list will appear as the default calendar for all users in your organization, unless they have an individual default calendar set up.

Custom calendars and resources
Clients have a hard time differentiating between capacity and resource uses. If anyone’s ever confused or if you come across a live resource setup, it’s a good idea to include resources in the Bookings calendar (located under Display options) and update the custom calendar, so that they can have a clearer picture of what’s going on.
Custom Calendar Best Practices
Saving custom calendars makes it easier for our clients and affiliates to locate their bookings. It is always a good idea to create custom calendars and organize activities/retail items on larger dashboards. Custom calendars can also be useful in reducing loading time, and allowing our clients to digest their booking calendar more easily.
Custom Calendars are useful for the following situations, because they represent items that the client would need to sort through themselves when viewing their calendar:
- Gift cards / retail items
- Different locations
- Rental items versus tour/activity items
- Items with several availabilities
However, please note that adding custom calendars creates another place on the Dashboard that will need to be updated if new items are added. If there are only a few items and the client can view all items without scrolling or long loading times, we should avoid using custom calendars.
