Xero is powerful online accounting software for small businesses, automating invoicing, bank reconciliations, and reporting. Get real-time financial insights, track expenses, and keep accurate records, all in one place, to simplify cash flow management and tax preparation.
Our Xero integration automates the transfer of key financial data from FareHarbor to Xero, reducing the need for manual entry and spreadsheet exports.
Enabling the Xero integration
To enable the Xero integration:
- Go to Settings.
- Click the cog icon in the top right corner of your screen to access your Advanced company settings.
- Select Integrations from the Advanced company settings menu.
- Check the Xero box.
- Click Save changes.
After saving, you must authorize your account in the Xero integration settings.
To navigate to the Xero integration settings in your FareHarbor Dashboard:
- Go to Settings.
- Select Integrations from the left navigation.
- Select the Xero tab.
Setting up your Xero integration
To begin setting up your Xero integration with FareHarbor, click the Xero tab in Integrations under Settings.
Before you can proceed, you must first authorize FareHarbor to connect to your Xero account. To do so, click Authorize Account.

Clicking Authorize Account will take you to a Xero login screen where you will authenticate your Xero credentials and click Allow access.
Once you have allowed FareHarbor access to your Xero account, a message will appear on screen confirming that the Xero integration has been successfully authorized.
Mapping Xero products to FareHarbor items
After you have successfully authorized FareHarbor to connect to your Xero account, you may return to the Xero integration tab in your Settings to begin mapping Xero products to FareHarbor items.
Prior to mapping items in FareHarbor, you must first:
- Create a contact in your Xero dashboard named “FareHarbor”.
- Create items from FareHarbor in your Xero dashboard.
For the FareHarbor Xero integration to work properly, you must also create and map three accounts:
- A bank account in your FareHarbor Dashboard where the payout is received
- A revenue account to track and link invoices
- A bank account to track payments
Note: The above-mentioned accounts serve different purposes and must be three distinct accounts.
For payouts to be synced with Xero, your bank account defined in your FareHarbor Dashboard must be mapped to a corresponding bank account in Xero. If this bank account does not yet exist in your Xero dashboard, create an account in Xero with the type Bank.
To properly track and link invoices, create an account in your Xero dashboard with the Revenue category. The account type for this account can be defined at your own discretion.
To track payments in Xero, connect a bank account linked to payments. Follow the same process for the Revenue account, but set the account category as Assets with the type of Bank or Current Asset and check the Enable payments to this account box in your Xero dashboard.

Setting up mapped items
To create items in your Xero dashboard:
- Go to Business.
- Click Product and services.
- Click the New item button.
Once you have created your items in the Xero dashboard, you may begin mapping your FareHarbor items and bank accounts to Xero in your FareHarbor Dashboard.
In the Xero integration tab, a table of FareHarbor items and bank accounts will appear alongside a dropdown featuring Xero items. On the left, items already created in FareHarbor are listed.

To map FareHarbor items to Xero products, select products from the dropdown lists in the Xero column to their corresponding FareHarbor item. Once you’ve selected the items to map, click Save.
Note: You must have Manage bank accounts, payment setup, and transfers permissions configured for your user to authorize the Xero integration and map customer types and custom fields.
Bookings and invoices
Once your Xero integration is set up and your items are mapped, bookings created in FareHarbor will automatically create a corresponding invoice in Xero with all relevant data. These invoices are available in your Xero dashboard under Business > Invoices.
In Xero, your invoice will display the following:
- Contact (FareHarbor)
- Issue date (the date of the availability)
- Invoice number
- Service date
- Description (the Booking ID and FareHarbor item name)
- Product / Service (the mapped item)
- Total amount
- Tax amount
When you authorize the FareHarbor Xero integration in the FareHarbor Dashboard, two bank accounts are created in your Xero dashboard:
- FareHarbor Bank Account: The account in which payments are linked.
- Fareharbor Revenue Account: The account in which invoices are linked.
The bank account you map under Map Xero Data in the Xero integration settings of your FareHarbor Dashboard will receive payouts. The payout occurs via a bank transfer from the Fareharbor Bank Account to the bank account you have mapped.

Note: FareHarbor does not send any tax values to Xero.
Your Sales dashboard in Xero will display invoices and payments whenever a new booking is created.
Payment activities
With the Xero FareHarbor integration, you can track payments of activities in the Xero sales dashboard. Additionally, the Xero integration shows the money released to you by FareHarbor and where these payouts are delivered.
When you view a specific bank account in Xero, you can track all payments you receive from FareHarbor and reconcile your various invoices.
Under Chart of Accounts, the FareHarbor Bank Account section of your Xero dashboard will display payment information. The Xero integration indicates when the funds have been successfully disbursed to your designated bank account. Payouts are visible under Transactions > Chart of Accounts > Account: FareHarbor Bank Account.
When a payout is synced, a bank transfer from the Fareharbor Bank account to the account mapped in the FareHarbor Xero integration is initiated.
Product limitations
The following FareHarbor features are not yet supported by the Xero FareHarbor integration:
- Refunds
- Rebookings
- Cancellations
- Taxes
- Fees
- Booking source differentiation (affiliates, cash, etc.)
- Two-way integration
- Cash-basis accounting (Creating Xero invoices based on booking/payment created date)
- Support for priced custom fields
- Customer type breakdowns
- Support for Private Charter setups
- Multitax
- Syncing items with Xero
