Important Terms

The terms used in many report columns are self-explanatory (such as when bookings were created, or the customer contact name). Others are specific to certain types of reports. Below we’ve outlined some important and commonly-used terms, and what they mean.
Bookings
Below are some common booking-related terms that are used on a variety of reports, such as Payouts & Refunds, Crew, and Detailed Bookings.
Note: If you’re using an advanced report, some of these terms will differ. See terminology for advanced reports to learn more.
Created by: This is always the user that originally created the booking, even if it has since been rebooked. (Note that all other columns except for “Created at” show the most current information about a booking.)
Pax: The number of customers or tickets on a booking. This is an abbreviated way of saying “Passengers.”
Cancelled bookings are denoted by by the booking ID being struck through and a red x.

Price breakdown
Report columns based on a booking’s total (such as Subtotal, Tax, and Total) do not factor in how much you actually collected for that booking, just what the final price was. For revenue collected, see the “Revenue collected” and “Net revenue” columns.
- Subtotal: The calculated subtotal of the booking before tax.
- Tax: The tax calculated on the booking. You can further analyze this number by selecting the “Tax by type” checkbox, which will separate all taxes by Tax type into their own columns.
- Total: The booking’s total cost.
Set totals: If the booking’s total is set to a fixed amount, the numbers in the Subtotal and Tax columns will be prorated based on the set total and your company’s tax rate. So for a set total of $100 and a tax rate of 5%, the subtotal will be $95.24 and tax will be $4.76 (5% of 95.24 is $4.76, which together totals $100).
% of report sum booking totals: When viewing the sum of the Total column on a report, this column shows what percentage of the total was yielded by a specific item, user, customer type, etc.
Revenue collected: The amount you’ve collected for that booking, for any payment type. (For affiliate bookings, this number is before invoicing, meaning it does not take into account any money payable or receivable to the affiliate, or that you did not enter as “Collected by Your Company Name.”)
Check-In
Note: Data for when a check-in occurred and who performed it is available for bookings starting on February 10, 2021.
- Check-in Status: Choose any, none, or a specific check-in status
- Checked In By: Choose any, none, or a specific user
- You can also use grouping and columns to narrow your report down by time using the following:
- Check-in Date
- Check-in Week
- Check-in Month
- Check-in Year
- Check-in Hour
- Check-in Day
- Note: Check in date and time information is available on all Advanced reports except the Gift Card report.
Affiliate invoicing columns
Invoice amount: The calculated amount that should be invoiced for this booking. Generally, for reseller relationships this is the net that you need to collect from them, for referral relationships this is the amount they may have already collected.
Collected by affiliate: The amount the affiliate has collected for that booking. (All the payments added to that booking marked as “Collected by Affiliate Name.”)
Receivable from affiliate: The amount that is owed to you from the affiliate, based on the invoice amount and what has been collected so far.
Payable to affiliate: The amount that is due to the affiliate from you, based on the invoice amount and what has been collected so far.
Net revenue: The net amount to you on a booking, after affiliate invoicing if applicable. This number is the calculation of:
- The Revenue you collected for the booking (payments minus refunds)
- Minus any credit card processing fees, if applicable
- For affiliate bookings: Minus any “Payable to affiliate” amount
- For affiliate bookings: Plus any “Receivable from affiliate” amount
Note: Because net revenue takes “Receivable from affiliate” into account, it can actually be higher than the Revenue column.
Payments and Refunds
When viewing revenue split out by payments and refunds, it’s important to know how the following columns are calculated. You’ll see these columns on the Payouts & Refunds report, and optionally, on the Revenue by Type report.
Payments

- ID: The system ID for a specific payment. This can be useful when comparing reports or when communicating with FareHarbor Support.
- Gross: The total amount of the payment that your company collected. (Does not include booking fees.)
- Fee: For credit card charges, this column will be shown as a negative amount indicating the amount withheld for processing.
- Net: Your net amount on the payment: gross minus fee (if applicable).
Important: Payment columns always show the initial amount of the payment or credit card charge. If the payment was refunded in whole or part, the refund will be shown in a separate column.
Refunds

- ID: The system ID for a specific refund. This can be useful when comparing reports or when communicating with FareHarbor Support.
- Gross: The total amount of the payment that you refunded. Note that if a booking fee was taken on the original payment, it may have been returned as well.
- Fee: For credit card charges, fees are returned to you when refunds are issued. They will be displayed as positive amounts here.
- Net: Your net amount on the refund; gross plus fee (if applicable).
Advanced reports
While Advanced reports use many of the same terms as general reports, it’s important to note certain differences in terminology. There are also many additional options not available on general reports, which we’ve defined below.
Bookings
Booking ID: The system ID for a specific booking. Click the ID to view the booking overview. Similarly, you can add columns for Item ID or Availability ID.
Cancelled?: Shows whether the booking has been cancelled or not.
Cancelled At: The date and time that the booking was cancelled.
Cancelled By: The user who cancelled the booking (this will display as “online” if it was an online cancellation).
Created At: The original date and time that the booking was created.
Originally Booked By: The user that originally created the booking.
Last Rebooked At: The most recent date and time of rebooking. (If not rebooked, this column will show the original booking information.)
Booked By: The user that most recently rebooked. (If not rebooked, this column will show the “Originally Booked By” user.)
You can also include additional information from the booking, such as the customer’s contact information, booking notes, cancellation notes, transportation details (if applicable), and more.
Payment breakdown
In addition to the general price breakdown terms, Advanced reports include detailed columns for breaking down payment.
Subtotal Paid: The amount collected for the booking, prior to tax.
Tax Paid: Tax collected for the booking. This number can be further analyzed by selecting the “Tax by type” checkbox, which will separate all taxes by Tax type into their own columns.
Total Paid: Total amount collected on the booking, for any payment type. For affiliate bookings, this number is before invoicing, meaning it does not take into account any money payable or receivable to the affiliate, or that you did not enter as “Collected by Your Company Name”.
Card Processing Fees: Credit card processing fees applied toward the booking (for credit card payments only). The report column is abbreviated to “Processing Fees”.
Total Paid After Processing Fees: Total amount collected on the booking, minus card processing fees.
Affiliate invoicing columns
In addition to general affiliate invoicing columns, Advanced reports include many additional options for affiliate invoicing.
Note: When using columns that distinguish between Provider and Affiliate, the provider is the company who the booking was for, and affiliate refers to the reseller or other source of the booking.
Subtotal Paid to Provider: The amount collected by the provider for the booking, prior to tax.
Tax Paid to Provider: Tax collected for the booking by the provider. Note that each tax type will show in its own column.
Total Paid to Provider: The total amount collected by the provider for the booking.
Subtotal Paid to Affiliate: The amount collected by the affiliate for the booking, prior to tax.
Tax Paid to Affiliate: Tax collected for the booking by the affiliate. This number can further analyzed by selecting the “Tax by type” checkbox, which will separate all taxes by Tax type into their own columns.
Total Paid to Affiliate: The amount the affiliate has collected for that booking. (All the payments added to that booking marked as “Collected by Affiliate Name.”) Includes credit card processing fees.
Note: This is the same as the “Collected by affiliate” column on general reports.
Card Processing Fees Charged to Provider: Credit card processing fees charged to the provider (for credit card payments only). The report column is abbreviated to “Processing Fees Charged to Provider.”
Total Paid to Provider After Processing Fees: Total paid to the provider minus any credit card card processing fees charged to the provider.
Card Processing Fees Charged to Affiliate: Credit card processing fees charged to the affiliate (for credit card payments only). The report column is abbreviated to “Processing Fees Charged to Affiliate.”
Total Paid to Affiliate After Processing Fees: Total paid to the affiliate minus any credit card processing fees charged to the affiliate.
Amount Due: Amount the booking is underpaid by.
Net Revenue Collected: The final amount you’ve earned on a booking, after affiliate invoicing if applicable. (This is the same as the “Net revenue” column on general reports.) This number is the calculation of:
- The amount collected for the booking (payments minus refunds)
- Minus any credit card processing fees, if applicable
- For affiliate bookings: Minus any “Payable to affiliate” amount
- For affiliate bookings: Plus any “Receivable from affiliate” amount
Invoice Subtotal: The calculated subtotal, based on the invoice sheet used for the booking.
Invoice Tax: The calculated tax, based on the invoice sheet used for the booking. This number can be further analyzed by selecting the “Tax by type” checkbox, which will separate all taxes by Tax type into their own columns.
Invoice Total: The calculated total amount that should be invoiced for the booking. Generally, for reseller relationships this is the net that you need to collect from them, for referral relationships this is the amount they may have already collected. Note: This is the same as the “Invoice amount” column on general reports.
Invoiced?: Shows whether or not an invoice has been created for the booking.
In addition to the “Payable to Affiliate” and “Receivable from Affiliate” columns found in general reports, you can use the Paid to Affiliate and Received from Affiliate columns in Advanced reports to show how much has actually been paid and received.
