Before diving into your data, we recommend getting familiar with the basic reporting functions outlined below, such as generating, filtering, and refreshing reports.
Note: If you are working with Advanced Reports, some of these options will look different. See the Advanced reports overview to learn more.
Generating a report
To generate a report:
- Go to the Reports section of your Dashboard.
- Choose a report type from the menu. The report will automatically generate based on default options.
Adjust filters or view options using the toolbar, if needed:

- Click Generate.
Depending on how much data is being pulled, this may take a few seconds. If needed, you can cancel a report while it’s generating and re-adjust your options as needed.
Common filter and view options
Many reports have different filters and display options available in the reports toolbar. To apply these to the report you are viewing, first adjust the filter or view options, then click the Generate button to run the updated report.
Note: The options described in this section are available on most reports, but certain reports may vary. In these cases, we’ve explained the additional options on a separate page. View individual report pages here.
Date range type
Use the Date range type menu (accessed via the clock icon next to the date range fields) to change how your report is filtered.
- Availability date: Generates based on availability dates, or when a booking’s trip actually happened
- Booking creation date: Generates based on when the bookings were created

Cancelled bookings filter
It can be useful to filter bookings from reports based on if they have been cancelled or not. There are several options available in the Cancelled bookings to include section of the Filters menu:
- No cancelled bookings includes only bookings that have not been cancelled
- Non-refunded cancelled bookings (default) includes only bookings that have not been cancelled, or that have been cancelled but not fully-refunded
- Include all cancelled bookings includes all bookings, regardless of if they have been cancelled or not
- Include only cancelled bookings includes only bookings that have been cancelled

Sorting columns
Any columns in a report with small up and down arrows can be sorted in ascending or descending order, similar to a spreadsheet. Simply click the name of the column you wish to sort by, and the data will sort automatically.

Show more details
If you see a blue number on a report, you can click it to see more detail about that specific item.

Some booking columns are also hidden from view by default. Reveal them by clicking the “+Show more” link in the header.

Refreshing reports

Once a report has been run, you will see a “Report accurate as of…” note above it. This allows you to keep an eye on how old the report is. To re-generate a report with the most up-to-date data, click the “Refresh” button. If needed, you can also click “Cancel” in this same area while a report is generating.
Note: If you’re are seeing old or incorrect data on a report, it is possible that it just needs to be refreshed and regenerated with the most recent information.
Sharing, downloading, and printing reports
Sharing
Once you’ve generated a report, click Share
to get a unique link to the report with all current filters in place. This link can be used to bookmark the report or share it with another user in your company.
A report’s unique link will change any time you change its settings and re-generate it. This means if you share a report and then update its settings, all users with the original link will still see the previous settings. To send them an updated version, simply click Share and copy the new URL.
Downloading
To allow greater data compatibility, FareHarbor is currently transitioning to a standardized data format for CSV files. Aligning with international standards will help ensure reports are more compatible moving forward.
Downloaded reports will reflect formatting updates such as:
- Column names will be standardized and formatted in snake case to improve data cleanliness.
- Reports will no longer include a Total column or currency symbols.
- Monetary values and currency type will be two separate columns.
- Percentages will be displayed as decimals (such as
.65 for 65%).
- Date and time data will be formatted to conform with international standards, such as:
- Dates will appear in a
YYYY-MM-DD format. (For example: 2025-08-19)
- Time data will be in a 24-hour format, either
HH:MM:SS or HH:MM. (For example: 15:15:00 or 15:15)
- Timestamps (or datetimestamps) will include both date and time data in a
YYYY-MM-DDTHH:MM:SS format. (For example: 2025-08-19T14:30:00 indicates that the data occurred on August 19th, 2025, at 2:30pm.)
- Merged categories will not be included in the CSV file.
The new standardized data format is expected to become the default for FareHarbor reports in the future.
Downloading a CSV file
- Generate the report to be downloaded.
Click the Download CSV icon (
) to download the data as a CSV file.
- If the new format format is currently unavailable for your report, the report will automatically download in the same format it appears in the Dashboard.
- If the new format is available for your report, select whether the CSV file will be formatted in the old format (identical to how to report appears in the Dashboard) or the new format.
Regional considerations for CSV data
Clients located outside of the United States may need to make some slight adjustments to computer settings in order for CSV downloads (such as manifest and reports) from FareHarbor to format correctly. Data is separated in a slightly different way, based on the characters used to indicate a digit grouping or decimal.
For Mac users:
- Navigate to System Preferences, then select Language and Region.
- Select the Advanced option.
- Set Grouping as a comma (,).
- Set Decimal to a period (.).
For Windows users:
- Navigate to Clock, Language, and Region using the Control Panel (in the Start menu).
- Click the Change date, time, or number formats option, and then select Additional settings.
- Set the Digit grouping symbol as a comma (,).
- Set the Decimal symbol as a period (.).
Printing
Click the Print icon (
) to print your report.
Any filters currently in place will be applied when printing. In other words, only the information shown on your screen will be printed.
If the report includes a high number of columns, selecting Landscape as the Layout option can provide a more effective view of the data.
