Item occupancy report

Review capacity metrics and item booking rates using the Item occupancy report. This report provides information on an item’s booking volume and rates per availability, and can aid with performance-based business decisions.
Items with resources are currently not included in this report.

Overview
Item occupancy is a Performance report that can be used to review booking information about an item’s past and future availabilities, including:
- Capacity (the number of possible participants)
- The number of participants booked
- Remaining unbooked capacity
- Occupancy rate (the percentage of capacity booked)
Limitations
- Items with resources are currently not included in this report.
- Item occupancy is not an advanced report, so it:
- Does not currently include grouping or filtering options
- Cannot currently be saved or downloaded.
Generating a report
To generate a custom occupancy report:
- Navigate to the Reports tab, and select Performance from the sidebar.
- Select Item occupancy.
- Identify which item the report should focus on by selecting from the Report on dropdown.
Select a preset or custom date range of availability data from the For dropdown. The report will provide data for the previous calendar month by default.
When reviewing a custom range, set the start and end dates using the Date range fields that appear.

Click the Update report button to generate results matching your parameters.
Frequently asked questions
Can I use the Item occupancy report for items with resources?
Only items with no resources are currently included in this report.
Does this report only include past availabilities?
No, the occupancy report can be used to review metrics for both past and future availabilities.
Is it possible to generate an occupancy report for multiple items?
An occupancy report can only return data on one specific item at a time.
To review data for another item, select the relevant item from the Report on dropdown, adjust other report parameters as needed, and click the Update report button.
How is the occupancy rate calculated?
Occupancy rate is the percentage of total capacity that has been booked, and is calculated by dividing the number of participants booked by total capacity.
For example: If an availability has a total capacity of 100, and 80 participants have been booked, then 80/100 = 0.8 (or 80%).
Why do some availability results not show an occupancy rate?
An occupancy rate will not appear if an availability does not have a capacity set. The system will not be able to calculate an occupancy rate because capacity is needed for the rate calculation. (See How is the occupancy rate calculated? for additional information.)
