Affiliate Permission Groups

Overview
Assigning an affiliate a permission group allows us to control what an affiliate can see/do when they are making a booking for a specific charter.
When do we use them?
An affiliate only needs a permission group if they will be logging into an affiliate dashboard. If an affiliate is not going to be booking through the affiliate Dashboard or through an API, they do not need a permission group (unless they’d like access to view bookings made via an ASN link or affiliate promo code).
Examples of when we use them:
- Affiliate dashboard access to make bookings
- API connections
- Affiliate needs to view reporting
Where do I find them?
The affiliate permission groups are located on the charter’s dashboard under Settings > Users & Permissions > Permissions.
All charter dashboards come with two default affiliate permission groups:
Affiliate – Can See Prices
This allows affiliates to see both the booking total (retail price) and invoice price when making a booking. Click here to view this permission group built correctly in the Dashboard.

Affiliate – Cannot See Prices
This prevents affiliates from seeing a booking total (retail price). They will only be able to see the invoice price the charter will bill them for. Click here to view this permission group built correctly in the Dashboard.

How do I know which permission group to give an affiliate?
The type of permission group assigned to an affiliate depends on if the affiliate is a Billing or Referral affiliate. To learn more about the 3 types of affiliate set ups, click here.
Referral Affiliate
Permission Group: Affiliate – Can See Prices (Charging Card)
Why? If an affiliate is Charging a Credit card in FareHarbor the option to see the pricing must be available.
What payment options do they have? Affiliate will have the ability to either charge a credit card or say they collected the full payment on the booking.
Please note – if the Dashboard uses PayPal as its payment processor, affiliates CAN’T be set up as referral when booking through the affiliate Dashboard. They will not be able to process payment in FareHarbor.
Billing Affiliate
Permission Group: Affiliate – Cannot See Prices
Why? The affiliate already collected payment from the guest via their own POS system and is using FareHarbor to simply enter the reservation. Since a billing affiliate is collecting the payment from the customer via their own POS system, they aren’t processing any money through FareHarbor when they enter the booking. Therefore, the booking total reflected in FareHarbor is irrelevant to this affiliate and the only number that matters is the amount the charter will invoice them back for (aka the net rate).
What payment options do they have? Affiliate will only have the ability to SAVE a card or say they collected the full payment (they will not have the ability to actually charge it, since they can’t see the booking total).
Referral Deposit Affiliate
Permission Group: Affiliate – Can See Prices
Why? So that the charter can keep track of how much the affiliate collected as a “deposit” and how much is still due to the charter.
What payment options do they have? Charging card will have to be on a discounted price sheet & a 0% referral (the charter will not see how much the affiliate collected as deposit), or Affiliate taking payment will be on Referral – X% (the charter will not exactly how much the affiliate collected).
Creating a New Affiliate Permission Group
A new affiliate permission group might need to be created to add or take away a permission of one of the existing permission groups.
Example: If an affiliate will only ever be charging a credit card, it is good to give that affiliate a permission group that will limit all of the other payment options and only allow them to complete the booking by charging a credit card.
Steps:
Duplicate one of the original permission groups.
Make the necessary changes.
Specify what’s different in parenthesis in the name.
Save Permission Group & Assign to Affiliate.
Commonly Created NEW Affiliate Permission Groups
Affiliate – Can See Prices (Charge Card)
- Click here to view this permission group built correctly in the Dashboard.
- Duplicate ‘Can see prices’ > Deselect ‘Add affiliate payments’.
- This permission group removes the option for the affiliate to say that collected payment, limits an affiliate’s payment options to only being able to charge a card.
- If the affiliate will be charging a card every single time, limiting them to one payment option can help avoid mistakes and make it less confusing for the affiliate when they are making the booking.

Affiliate – Can see prices (Affiliate Taking Payment)
- Click here to view this permission group built correctly in the Dashboard.
- Duplicate ‘Can see prices’ > Deselect ‘Charge credit cards, ‘Save credit cards to charge later).
- Only allows the affiliate to say they collected payment, but let’s them see the prices.
- This would be most commonly used for a billing affiliate who is always going to say they collected payment, but who wants to see the prices (versus the regular Affiliate – Cannot see prices permission group).

Affiliate – Can see prices (Skip Adding Payment)
- Click here to view this permission group built correctly in the Dashboard.
- Duplicate ‘Can see prices’ > Select ‘Skip adding payment when creating bookings’.
- Allows affiliates to be able to complete bookings without putting in any payment at the time.
- Results in a “Due” amount in the booking total.

Affiliate – Cannot see prices (Can Cancel/Rebook)
- Click here to view this permission group built correctly in the Dashboard.
- Duplicate ‘Cannot see prices’ > Select ‘Cancel or rebook bookings eligible by cancellation policy’.
- Allows an affiliate to be able to cancel and rebook bookings (this is one permission in FareHarbor).
- Please note: an affiliate will only ever be able to cancel bookings in FH where THEY have collected the money. If any money has been charged through FH on a booking, an affiliate won’t have the ability to cancel/rebook that booking (even if they have all of the proper cancellation permissions).
FAQs
An affiliate is unable to see one of their partners from the affiliate dropdown tab when they login to their dashboard. Why?
- The affiliate needs a permission group assigned to them on the Charter’s dashboard in order for them to view it from their affiliate dashboard.
- Check and make sure the user on the affiliate Dashboard has the “partner” permission.
My affiliate can’t see the ‘Do Not Add Payment’ option when they are booking. Why?
- They need a custom permission group with the ‘Skip Adding Payment’ box checked.
A charter wants an affiliate to have the ability to either charge a CC or collect payment interchangeably. Which permission group would you assign this affiliate?
- ‘Affiliate – Can See Prices’ is the only permission group that allows an affiliate to say they collected payment or can charge a card. Click here to view this permission group built correctly in the Dashboard.
My affiliate has an ASN link on their website. They want to view bookings made with the ASN link, but not make bookings through their affiliate dashboard. How can they view their bookings?
- We would give the affiliate a login to their affiliate portal and assign them a permission group so they can login to view bookings made with the ASN link.
- If they shouldn’t be allowed to make bookings, we can create them a custom permission group where we deselect ‘Create Bookings’.
