Using the Airtable Projects Board

The purpose of the Airtable Projects board is to keep track of projects assigned to Lead Generation.
Picking up a project
- Go to the Lead Gen Rippers Airtable, select the “Projects” tab and then select the “Project Data” view.
Browse the “Ready to Rip” section. When choosing a project, take note of the following columns in the board:
- “Region of Project”: what region the project focuses on (Global, AMER, EMEA or APAC)
- “Priority”: the urgency/deadline of the project (emergency, urgent, high +, high, medium, low or lowest)
- “Estimated Project Size”: an estimation of how long the project will take to complete if worked on continuously, not factoring in other responsibilities (from more than 1 month to 1 hour or less)
- “Jack Bot”: if checked, this means the project should be completed using Jack’s bot
- “Owners”: name(s) of Lead Generation team member(s) who are already on the project
- “Project Type”: What kind of project is it? (scrape, Close cleanup, conference, contact info or other)
To choose a project, select the project name to open up the project card. Under “OWNERS”, select “Add a collaborator” and choose your name. Then, under “STATUS”, switch the status to “In Progress”.

You should only be a collaborator on ONE non-urgent project at a time.
Working on a project
For scrape projects:
Think of a way to track leads loaded in a smart view if there is no “CLOSE TAG” or other process detailed in the project card.

- Keep track of the total possible leads encountered during the project (an estimate).
- Keep track of total hours worked.
Leave important comments in the “BD NOTES” section of the project card.

Finishing a project
- Open the project card and enter the following:
- PERCENT COMPLETE
- PROJECT COMPLETE DATE
- TOTAL TIME SPENT: number of hours; if more than one person is working on the project, add each person’s name and the number of hours each person worked
- BD NOTES: summary of how the project went (challenges faced, which lead generation strategies were used, point out any extra special companies loaded, anything else of importance, etc.)
- # SCRAPE – TOTAL POSSIBLE LEADS: for scrape and conference projects
- # SCRAPE – TOTAL LOADED LEADS: for scrape and conference projects
- # OF TIER 2+: for scrape and conference projects
- Update STATUS to “Check”.
Post in the #bizdev-board Slack channel:
- Name of project
- Total number of leads loaded or the number of leads adjusted (for Close cleanup and conference projects)
- Number of tier 2+ loaded
- Smart view of leads (Close URL)
- Tag the appropriate regional sales ops lead.

- EMEA: Francisco Bento
- APAC: Jawwad Ali

Canceling a project
- Do some research. Use the Lead Generation help page for assistance. Specifically, take some time to check Organic Competitors, Google Maps, and Google News.
- If you are unsuccessful in finding companies that are not already in Close or the type in question appears to be a bad fit, Slack Dan Johnson, Natasha Raikar and Alba Bregasi.
- Provide a brief explanation of what strategies you have tried so far and what you see as the problem (i.e. low tier, bad fit, duplicates, etc.).
- Dan, Natasha or Alba will either cancel or modify the project after review.
- Dan, Natasha or Alba will add their notes to the “REJECT/CANCEL NOTES” part of the project card and inform the submitter if necessary.
