In-person payments with FareHarbor

FareHarbor is an online reservation system, and is built to support online payment transactions. However, it’s impossible to ignore the importance of in-person payments, as they are a crucial component of any business operating in the tours and activities industry.
The parameters surrounding in-person payments vary per country, and can be determined by fiscalization law. Fiscalization is law designed to avoid retailer fraud and it does so by enforcing mandatory transaction reporting to the authorities. Every country’s fiscalization laws are unique and stem from political, economical and social motivation.

Glossary of Important Terms
POS (Point-of-Sale) System/ Software
Definition: While the primary purpose is to process payments, a POS system is also a system of business features connected with your till transactions. This includes an inventory library with stock levels that automatically update when you sell products, real-time reports accessible from a remote computer, staff timesheets and customer library with loyalty features.
FareHarbor Application: In all cases, FareHarbor does not ever act as a POS while taking payments. Cash payments handled outside of FareHarbor can be manually entered into FareHarbor to ease business operations, but those are never the primary records of the cash transaction. FareHarbor is not the system of record for any cash transactions, including instances where the company enters payment as “cash” to support operational organization.
Fiscalization/ Fiscal Law (Regulation)
Definition: Fiscalization is fiscal law designed to avoid retailer fraud. Fiscal law about cash registers has been introduced in countries to control the grey economy by enforcing all mandatory transaction reporting to the authorities.
FareHarbor Application: FareHarbor is an online payment system, however, many of our clients (in fact, most of our clients) also have in person sales, and need to comply with fiscal law according to the regulations in their own country in order to comply with taxes.
Fiscal Printer
Definition: A fiscal printer is a device that prints receipts as well as recording them in an internal memory.
FareHarbor Application: The printers that we currently recommend are not fiscal printers, however our Help Docs say “Any receipt printer should work with FareHarbor” (see link)
Merchant of Record
Definition: The merchant of record in a sales transaction is the party from which the cardholder believes it is making a purchase and the party to which the cardholder is liable for payment.
FareHarbor Application: FareHarbor activity providers are the Merchant of Record
Receipt
Definition: A written and signed proof of payment by the recipient of payment for goods.
FareHarbor Application: FareHarbor can print a variety of receipts, with no compliance to legal regulations per country
Cash Report
Definition: The Daily Cash Report is used to report on the daily cash balance and to help manage cash on a weekly basis. When entering a situation where active cash management is required for your daily cash flow, this tool is especially helpful.
FareHarbor Application: We have a cash report in FareHarbor, but transactions can be edited and changed under the discretion of dashboard users (depending on localized permission levels). As such, in many countries, our cash report should not be used for any sort of tax reporting.
EMV Reader
Definition: With the EMV chip card, you insert the card end with the chip into the EMV card reader usually with the chip facing up. When an EMV card is inserted in the EMV card reader slot, data flows between the card chip and the issuing financial institution to verify the card’s legitimacy and create the unique transaction data.
FareHarbor Application: FareHarbor integrates in a variety of countries with a particular EMV reader. As such, clients are able to take in person transactions. We do not yet know if this would automatically make us a “POS system” which would cause us to be compliant with relevant regulations.
Certified/ Electronic Cash Register
Definition: Certified Cash Register can be any type of ECR or POS software (model / version) which was subjected to some sort of evaluation by the Authority and therefore is registered and trusted to be temper free.
FareHarbor Application: FareHarbor is not currently certified as a ECR in any of the necessary countries as we are not considered a POS System. We have no plans on future compliance.
Cash Register
Definition: A cash register only handles payment operations at the till.
FareHarbor Application: FareHarbor can integrate to receipt printers, which then integrate with cash registers that “pop open” upon an in person transaction. These cash registers do not comply with most country-specific regulations.
Invoicing
Invoicing is a term that is applicable to many aspects of FareHarbor. Below are examples of Invoicing within FareHarbor:
Affiliates/ Reseller Partnerships: When clients are reselling each other’s tours for commission, partnership is between the two companies directly. (Read more about that here).
FareHarbor Distribution Network: When clients are reselling each other’s tours for commission, and their partnerships and network are via FareHarbor’s Distribution network. FareHarbor provides these invoices monthly. (Read more about that here).
In-Dashboard Invoicing for the processing fee: A report generated within FareHarbor for all non-US clients, serving as a proof of payments for the credit card processing fee. Information about this feature will be released Q1 2022.
Booking Fee Invoice:
- FareHarbor to Client: FareHarbor has no obligation to invoice the booking fee to the client. The Booking Fee is in no way related to the client’s money movement.
- Client to end-user: Supplier’s obligation.
