How to set up “Call to Book” customer types

“Call to Book” Customer Types can be used to display a “call to book” message for specific customer types on the book form. They can be set up for book forms with multiple customer types, with the “call to book” customer type as a more customized or complex option that requires client-customer interaction.

This set up should always be used in combination with bookable customer types. These should never be set up in a book form as the only option.
Follow the steps below in order to set up “call to book” customer types within an item.
Create relevant customer types in your Dashboard settings
Customer types are initially created in the Dashboard settings.
To create a customer type:
- Go to the Settings section of your Dashboard.
- From the Settings menu, select Customer Types.
- Click New customer type.
- Click Create customer type.

Add customer types to items of interest
In this step, you’ll add your customer type to one or more items.
Adding a customer type to a single item:
- Go to the Items section of your Dashboard and select the item you want to update.
- Go to the item’s Options & Prices.
- Click Add customer type and choose your customer type from the dropdown menu.

Duplicate and adjust settings for “call to book” customer types within the item
In this step, you will duplicate the determined “call to book” customer type within the item. You will need to update the SKUs of each customer type, with one labeled for the front end and the other labeled for the back end, in order to identify them later.
To duplicate the customer type:
- Click on the pencil icon next to the “call to book” customer type.
- Select the Duplicate Button.
- With each customer type, adjust the SKUs to reflect the front end “call to book” customer type and the back end “call to book” customer type.
For the front end “call to book” customer type only, update the Per-availability capacity to “0”.

For the back end “call to book” customer type only, update pricing.

Change visibility on price sheets
With both “call to book” customer types in the item, the visibility must be updated to match each one.
To update the visibility:
- For the front end “call to book” customer type, make hidden on base sheet, and visible on the online sheet.
- For the back end “call to book” customer type, make hidden on the base sheet, and visible on the direct sheet.
Update bookability settings
Within the item’s bookability settings, click the third checkbox in the column “Include in online calendars…” This setting must be enabled in order to display the “call to book” message next to the customer type.

Add customer types to availabilities
New availabilities
When creating new availabilities, you will be required to select one or more customer types to add to your book form. During this step, you also have the option to set the per-booking minimum and maximum and the per-availability capacity for each customer type, if needed. If set up on the customer type level, they should already pull over.

Existing Availabilities
You will need to use the availability updater to add any missing customer types or update the Per-availability capacity to “0”
In order to add customer types to existing availabilities, use the availability updater:
- Select Customer types under column 1.
- Select the date range for the availabilities in column 2.
With the button Add selected, use the dropdown to add the correct customer type in.

Remember for the front end “call to book” customer type, the Per-availability capacity must be set to “0”.

If the front end “call to book” customer type is already on the availabilities, you will need to update the Per-availability capacity for them.
