Managing booking flows

Booking flows are managed in your Dashboard settings. To access them, go to the Settings section of your Dashboard and select Booking Flows from the menu.

Creating a flow
Don’t see the option to create a new flow? Your permission group may not allow you to edit booking flows. Contact your administrator or get in touch with FareHarbor Support for help.
To create a new booking flow:
- Go to the Settings section of your Dashboard.
- Select Booking Flows from the sidebar.
Click New flow and enter a name. This name will be shown to your customers, so make sure it is clear and actionable. Read more below..
Click Create flow.
This will create a flow page displaying all of your public items by default. You can customize what to display by adding blocks, which we’ll go over in the next section.
Naming your flow
When dealing with flows that have multiple “levels” or pages, your flow name will be displayed to customers so they can easily navigate back to the first page. For this reason, we recommend giving your flow a name with a clear call to action (for example, “Choose your activity” or “Choose your location”).
Here’s an example of what this will look like to your customers:

Adding and organizing blocks
Blocks are the visual elements that make up a flow page. A block can be a bookable item, another flow page, or even a link to an external page or website. Add blocks to a flow page using the Add menu in the toolbar.

Items
Items represent all of your bookable activites in FareHarbor (they can also represent retail items like gift cards). When a customer clicks on an item from a flow page, they’ll be taken straight to the book form for that item.
You can add as many items as you’d like to a flow page. For example, if your flow is called “Rentals” you’d probably want to include all of your items related to rentals.

Flow page
Add a new or existing flow page to further segment your items. For example, if you’re creating a flow called “Popular Activities” you may want to further break these down into categories, for example: morning and afternoon tours.
In the example below, Water Activities and Land Activities are flow pages. When a customer clicks on one of them, they’ll be taken to a page where they can view all related items.
The header will be the name of the flow page, for example “Morning Tours”. It is recommended to include a subheading for flow pages to provide customers with information of what items are included in this flow page, for example “Hiking, ziplining, and sightseeing tours”.


External link
Flows can also include links to other pages, like your FAQs page or the website of a partner company. When adding an external link, you’ll need to include a valid URL (for example, https://fareharbor.com). A heading and subheading are not required, but may be useful for context.

Reordering blocks
Once you’ve added blocks to a flow page, you can change their order using the Reorder menu in the toolbar. Drag the
icon next to a block to move it.

Customizing blocks
Item blocks
When the block is a specific item, the item’s name, headline, and image will be used by default. However, you can customize how the item appears in the flow by changing the heading, subheading, and background image, if needed.
Under Item Settings, you can optionally specify a URL that the customer should be taken to when they click on the item. (By default, when a customer clicks on an item, they will be directed to book that item directly through FareHarbor.)
Tip: If you’re adding the same item to several different item sets, you can save time by entering the external URL in the item’s settings instead (located on the description page). Once entered here, the external URL will be automatically filled in when adding to an item set.

Once an item, flow page, or link been added, you can adjust its basic display settings by clicking directly on the block.
From this menu, you can customize the text that appears on the block (heading and subheading) or upload a specific background image.
This is also where you can adjust the block’s size. By default, flow pages are set up in a 3-column grid, but individual blocks can be resized to call attention to specific parts of the booking flow.
Customizing flow pages
You can also customize the display settings for each individual flow page. When viewing a flow page, open the Page Settings menu to adjust these settings.

Display
- Name: This should be a clear, concise description of the flow page (ex: “Private Tours”)
- Breadcrumb Name: This is the text that will appear in the navigation links at the top of the booking process (ex: “Book a private tour”). If nothing is entered, the name entered above will be used.
Include calendar (only applicable if the flow page contains bookable, non-retail items): By default, the flow page will display items or categories in a grid view. You may also choose to include an availability calendar.

- Delete: Deletes the entire flow page (this cannot be undone)
Suggested Items
You only need to complete these settings if you plan on using the flow page to suggest items to customers. Learn more about suggested items.
- Cart Notes: Text entered here will be shown along with suggested items in the customer’s shopping cart.
- Confirmation Notes: Text entered here will be shown with suggested items in the confirmation page and email.
- Show already selected items in suggested: When this box is checked, it allows the suggested items to include the same item that customer is purchasing. This may be useful if you offer an item that is designed to be experienced multiple times, like a series of classes.
Tip: You can duplicate a flow pages and its contents from the Page Settings menu. Duplicated pages can be viewed and edited from your main Booking Flows settings.
Adding flows to your website
Flows can be added to your website in a variety of formats, such as an embedded grid of items, an availability calendar, or a “Book online” button that opens the booking process.

Each flow page has its own unique embed code. This means you can display a specific part of a flow on one webpage, while displaying a different part of the flow on another page. As your customers browse online, they can navigate through the flow using the breadcrumbs at the top of the booking process.

To embed a flow page:
- Locate the specific flow page you want to embed.
- Open the Book Button & Embed menu (next to Page Settings).
- Choose the type of embed you want to add.
- Copy and paste the generated code into your website.

Changing your default flow
Be very careful when reordering flows. Changing the default flow will impact your FareHarbor profile (fareharbor.com/yourcompany) and will likely also affect your website integrations.
You can change your default booking flow by dragging a different flow to the top of the list (it will be marked with a grey “Default” badge).

You can also reorder your non-default flows, if desired. For example, you may want to move less-often used flows to the bottom of the list.
Note: If you are using customized booking flows (rather than the default flow that includes all items), it’s important to note that newly created items, items whose bookability status changes between private and public, and items that have been archived will not automatically be added or removed from your flows. If you create a new item or make an item public, please reach out to FareHarbor Support for help updating your booking flows.
Deleting a flow
Note: This will delete the entire flow, including all “sub-flow” pages within it.
To delete a booking flow:
- Go to the Settings section of your Dashboard.
- Select Booking Flows from the sidebar.
- Click Edit next to the flow you want to delete.
- Open the Page Settings menu and click Delete page.
- A pop-up will appear asking you to confirm. Click OK.

Enabling flows
Flows are not a Dashboard feature; a user just needs to have “Manage booking flows” enabled on their permission group in order to see the Booking Flows section.
To do this, go to the appropriate permission group and click the Setup tab. Then find and enable the “Manage booking flows” permission.
Use discretion when enabling this for a client as changes to the flow can have a large impact on their site integrations. Make sure to make mention of that to the client during the discussion about booking flows.

Best Practices for Booking Flows
- Segment (organize) your offerings, especially if there are more than 6 items.
- Group similar items together to create a visual decision tree for customers. For example, if you have both rentals and guided tours items on a dashboard, create flow pages for both Rentals and Guided Tours with those items.
- The purpose of flows to help customers make decisions. Utilize flow pages to drive decision making.
- Headings and Sub headings on flow pages are recommended to provide customers with some prompting text and direction.
- In addition, headings and subheadings can be used to refer to items differently in flows, cutting down on any repetitive information. For instance, a booking flow has a flow pages “Denver Activities”, with items “Denver 1 Hour Bike Tour” and “Denver 2 Hour Bike Tour”. With headings, we can change the heading of the bike tour items to remove Denver, since it is repeating information that is already included in the flow page.
- Make sure that all options in a flow are bookable online (dead end funnels will hurt your conversions).
- You can adjust block sizes within a flow. If you have two, four, or five blocks in a flow, be sure to arrange them in a pattern that takes up all of the available space. Don’t make any blocks too big.
- Adjusting block sizes is also useful to showcase most popular or high selling items.
- Do not leave the breadcrumb as “default”.
- Title it something that people will understand and can easily go back to the section they are looking for.
- When creating a Dashboard it’s best to use the automatically created Default booking flow which will have “include calendar” or “include search by date” automatically enabled.
- Double check any additionally created booking flows to be sure that either “include calendar” or “include search by date” are enabled.
