Creating an order

Orders allow you to collect payment or perform other actions for multiple bookings at once. Here we’ll show you how to create an order with new bookings. To create an order with existing bookings, see Managing orders.
Creating an order
Create the customer’s first booking as you normally would, but don’t add payment.

On the newly created booking, click Start new order (located below the payment summary).

Use the calendar to choose an availability and make the customer’s next booking. When filling out the book form, remember to select Don’t add payment now.
Note: Contact information and customer types will be automatically filled in based on the first booking. However, you can adjust the customer types or custom fields as needed.
Once completed, the second booking will be added to the order along with the first.
To add more bookings to the order, click Add new booking and repeat Step 3.

Once you’ve created all bookings for your order, you’re now ready to add a payment for the entire order.
Adding payment for an order
Click on the order ID (for example, Order #ABCD) to go to the order overview.
Click the Add payment button.

Choose whether to add a partial payment or pay in full.

Note: When adding a partial payment, determine how to allocate the payment by entering an amount for each booking in the order.
Choose a payment method.
- Optional: Check the Email receipt box to send the customer a copy of their payment receipt.
- Click Add payment.
You’ll now see that the order has been paid in full. If you added a partial payment, the amount due will be shown in the payment summary.
Redeeming a gift card
If the customer wants to use a gift card as payment, use the Redeem tab to enter the gift card number and apply it to the order total.

If there’s not enough money on the gift card to cover the order total, you can redeem the gift card, then add another payment using a different payment method.
Note: When applying a partial gift card payment to an order, the gift card will be applied to the bookings using the same ratio as the booking totals. So for a $100 order (where one booking is $20 and one booking is $80), 20% of the gift card will go toward the first booking, and 80% will go toward the second.

When applying a partial gift card payment to an order, the gift card payment will be prorated using the same ratio as the booking totals.
For example, let’s say we’re working with the following order:
- Order Total: $100.00
- Morning Tour: $20.00 (20% of order total)
- Afternoon Tour: $80.00 (80% of order total)
- Gift card amount: $50.00
This means that 20% of the gift card ($10.00) will be applied to the Morning Tour, and 80% ($40.00) will be applied to the Afternoon Tour.
