Outside users

An outside user is a user on another FareHarbor Dashboard who you’ve approved to have access to your own Dashboard. For example, if your company operates in several different locations with multiple Dashboards, this allows users across your company to easily access each Dashboard without having to log out and back in again.
Setting up outside users
To get started, get in touch with FareHarbor Support to enable outside users on your Dashboard. Once this feature is enabled, our team will work with you to set up your outside users.
View your outside users (or see which companies have shared Dashboard access with you) by going to your Dashboard Settings, selecting Users & Permissions, then clicking the Outside Users tab.

You can further customize this view in the Display options
menu, where you can choose to show deactivated users. This will show both deactivated users that previously had access to your Dashboard as well as your own deactivated users that had access to other Dashboards.
Outside users and permission groups
If needed, you can adjust the permission group assigned to an outside user by clicking Edit next to the user’s name and choosing a permission group from the dropdown. The available options are based on your company permission groups that you’ve set up in your Dashboard.

This permission group will be applied to that user when they are working in your Dashboard. If you do not select any permission group, the user’s outside permission group will be used.
Note: Even if an outside user has Director permissions, they cannot perform certain director-level actions (such as completing the Payment Setup Checklist) as an outside user only. In these cases, they must also be added as a company user on the Dashboard.
Editing or removing an outside user
- Go to Settings > Users & Permissions.
- Click the Outside Users tab.
- Next to the user’s name, click Edit.
From here, you can change the outside user’s permission group or remove their access from your Dashboard entirely.
Using FareHarbor as an outside user
Once you’ve been made an outside user for another Dashboard, you’ll have the option to move between Dashboards by clicking the company name in the Dashboard Menu Bar.

Remember, your level of access may vary depending on the permission group assigned to you for each Dashboard. You can see what permission group you’ve been assigned by going to Settings > Users & Permissions > Outside Users.

Tracking bookings made by outside users
To run a report for all bookings made by outside users, open an Advanced report and add the Booking filter “Booking Created By.” Once this filter has been added, you’ll see a list of all your users and outside users. Choose which outside users you want to report on, then click Generate to view the report.

Setting up outside users
Outside users must be enabled on all Dashboards that the user should have access to. To enable outside users on a Dashboard, go to the advanced company settings (shortcut: Shift + ,), locate the Admin section, and check the box next to “Add outside users to Dashboard”.

On each Dashboard that the user should have access to, go to Users and Permissions > Outside Users and enter the following:
- The outside user’s company shortname.
- The outside user’s username. (This is optional; if you don’t put a specific username, then all users for the company will be given access to the Dashboard.)
- The permission group that the outside user(s) should have when working in the current Dashboard.

Note: Company users can add, edit, and remove outside users themselves if they have the “Create and edit other users” and “Manage user permission groups” permissions. Otherwise, they’ll only be able to view outside user settings.
Outside users and notifications
Outside users will not receive booking notifications for the Dashboard on which they have been added to as an outside user, unless they are also added as a regular Dashboard user with these notifications enabled.
