Managing and viewing members
Last updated: October 27, 2023
Once a customer purchases a membership, you can view, filter and manage their member information easily from the Memberships section of your Dashboard. It is also possible to bulk import members from a .csv file, as well as export a member list from FareHarbor to a .csv for use in another application.
Viewing, filtering and sorting member lists
Viewing a member list
To view member lists, navigate to the Memberships section in your Dashboard settings, then select the “Members” tab. By default, all members are shown in the table:

Filtering a member list
Suppose, however, you only want to view members based on whether they are active, the number of days before their membership expires, or, for example, what type of membership they have (example: Day Pass, Weekly Pass, etc.). To do this, apply one or more filters.
To filter your member list, click the Filters button in the top-right of the member list.
- Select the box(es) next to the membership(s) that for which you want to filter the results.
Under Membership status, select the checkbox(es) for the filter(s) you want to apply.
For example, if you want to see only members with active day passes, select the Active status and Day Pass Membership checkboxes:
The member list dynamically refreshes to show only those members matching your filter(s).
You can also filter by the number of days before the membership will expire. This can be useful, for example, for sending reminders to the customer to renew their membership, or following up with them for feedback.
You can specify the number of days appropriate for your specific scenario.
Note: To close the filters drop-down, simply click the Filters button again.
What other filters are available?
Other available filters include memberships that have been deleted, have expired or have been cancelled. Note that you can use any combination of filters for your membership lists.
If you want to further customize your membership after creating filters, you can also sort the list as described below.
Sorting a member list
You can sort this list by any of the columns, or you can search for a specific member by selecting Find by ID and entering their member ID in the search bar. You can also set the number of members to display per page in your Dashboard, which can be helpful when managing a large number of members.
To sort the member list, click on the column heading.

Editing members
To edit a customer’s membership, select Edit >> in the right-hand column on the line containing the member’s name.
The membership overlay includes details of their membership, including the following:
- Member contact information
- Type of membership
- Pricing and payment information

Importing members
If you have members managed in an external system, you can easily import them into your FareHarbor memberships.
Select + Import members, then select the type of membership you will be assigning to imported members. You will be able to specify the following for the import:
- First name
- Last name
- Phone
- Start date
- Expiration date
- Member ID (must be at least 7 digits)
Notes on importing
- Email, phone, start date, expiration date, and either a first or last name are required.
- If the member ID field is left blank, the Dashboard will create a member ID (randomized 7-digit number).
With your members imported into FareHarbor memberships, you may want to notify your existing members of the new behavior for redeeming their membership benefits on your website.
We recommend that you send communications to your existing members about:
- Their unique member ID (if they didn’t have one previously)
- How to use their member ID to book with their benefits
Exporting members
You can export the member lists to a .CSV file, then import that file into another program such as a spreadsheet, CRM or email marketing software.
To export members:
- Click Settings.
- Click Memberships on the navigation bar. Make sure the Members tab is selected.
Click the
icon on the top-right of the member list and enter the number of members you want to include in your export in the # per page field.Important: Only members shown on the page you are currently viewing will be included in the export file. If you want to export more members, increase the number in the # per page field above.
Click the
button (located under + Import Members and select the location for your download file.- Click Save.
Notes on exporting
- The .csv export file includes the name, email address, phone number, membership type and status (active or inactive), validity dates and times, member ID, and the date the membership was created and last modified.
- The order of the entries in the .csv file will match the order in which you have sorted the members table in your Dashboard. For example, if you have sorted the table by the Members column, the .csv will return the member names alphabetically according to your selection.
Frequently Asked Questions
Why don’t I see all members in the membership list?
If you do not see the expected members in your member list, check that you have not applied any filters to the current view. In addition, you may have limited the number of members to show on that page, and the member(s) you are looking for may be further down the list. If that is the case, simply increase the number of members in the drop-down field.
