Creating memberships

Memberships allow you to offer your customers loyalty benefit packages. If you’d like to see if memberships would be good for you, please reach out to FareHarbor. If you’ve already had memberships enabled, follow the steps below to set up your company’s memberships for your customers.
If you don’t see the options below, contact your administrator or FareHarbor Support.
1. Adding membership types
The first step to creating memberships is to add the membership type in your Dashboard:
Navigate to Settings > Memberships.

- In the “Memberships” tab, select + New membership.
- Enter the required membership details.
- For duration based memberships, note that:
- The duration for a membership can only be a whole number (no decimals or fractions).
- Memberships activate the day of the first booked availability using the membership.
- Monthly memberships are valid for 31 days (for example, a 1 month membership purchased on March 1st and used to book availability on March 2nd is valid through the end of April 1st).
- For duration based memberships, note that:
- Select Create membership.
Your membership has been added! You can always edit these in the “Settings” tab for the membership by selecting Edit >> next to the desired membership.
2. Configuring the membership
Now that the membership exists in your Dashboard, the next step covers configuring exactly what benefits the membership will offer.
Note: Benefit discounts only apply to the customer type’s pricing. If the customer type pricing comes from only custom fields, then the discounts will not be applied.
- In the “Benefits” tab of the membership type you’d like to configure, select +New benefit.
Name the benefit.
Try to keep your benefit names as short as possible. You don’t have to add information that is already shown elsewhere, like the customer type or validity date. For example, if your benefit is a free pass, you can simply name it “Free Pass”, and it will show alongside the customer type and validity date you have configured.

- Configure the settings of the benefit.
- Optional: Select +Add blackout dates to configure days you would like these benefits not to apply, if applicable.
- Save your changes.
You can always edit these in the “Benefits” tab for the membership by selecting Edit>> next to the desired benefit in the membership settings.
3. Adding a membership item
Now that your memberships have been created in your Dashboard and configured to your liking, they must be added to an item.
- Create a new item.
- You can name this item something like “Memberships” if you’d like it to sell all your membership types, or something like “Annual Membership” if you only plan to use it to sell one type.
- Navigate to the item’s settings > Listing > Basic Info, and select “This item is used to sell memberships”.
- In the item’s Options & Prices, navigate to the “Memberships” tab, and select +Add Membership.
- Configure the pricing for the membership type.
- Optional: You can add a custom field if you would like to collect any additional information about your future members.
- Save your changes.

4. Configure the item’s online booking settings
- From the item’s settings, navigate to the item’s Bookability.
- Uncheck the Private checkbox.
- Under “Auto close online bookings”, set the cutoff time hours for both fields to “-24″(this ensures availabilities for purchasing future memberships are never closed off).
- Uncheck the checkboxes under “Include in online calendars as ‘Call to book’ when closed” column for both “No bookings” and “1+ bookings”.
- Set “Start showing number of seats left when there are only” to zero.
- Save your changes.
5. Adding availabilities for the membership item
Now that you have an item with your memberships in your Dashboard, you need to create availabilities to list that item so that your memberships are available for purchase.
Create availabilities for your membership item that are set to occur all day every day, making sure to select all the membership types you’d like to sell on the availability.
Your memberships are now available for purchase!

Permissions
In order for clients to use memberships, they need to have both the following enabled:
- The “Manage memberships” permission (under Settings > Users and Permissions > Permission Groups > Setup)
- The “Memberships” feature flag (under Advanced company settings > Setup)
