Archiving custom fields

If a custom field is no longer in use, you can hide it on your Dashboard by archiving it. Archiving helps to manage custom fields that aren’t in use while ensuring that no previous booking information is lost.
Before archiving a custom field, please note the following important information:
- Archiving a custom field prevents it from being added to any items that it has not already been added to.
- Custom fields that were added in an item’s Options & Prices before archiving (and have not been removed from that item’s settings) will still be visible to customers when booking that item.
- Archiving a custom field that is already on future, uncancelled bookings will not affect those bookings.
Archiving a custom field
Note: Before archiving a custom field, you may want to double check that the field is not a part of any active custom field groups that you may be using.
- Go to the Settings section of your Dashboard.
- Select Custom Fields.
- Select Edit field » next to the custom field you want to archive.
- Select
Edit field to expand the custom field’s settings. - Select Settings & Pricing.
- Check the Archived box.
- Save your changes.
Viewing archived custom fields
From the Settings section of your Dashboard, in the Custom Fields tab, you can view your archived custom fields by opening the advanced settings menu (look for the gear icon) and selecting Show archived custom fields. Archived custom fields will be located at the bottom of the list by default.
Reporting on archived custom fields
Archived custom fields can still be used in reports, allowing you to accurately track your sales and bookings. Archived custom fields will be clearly marked under an Archived section while choosing custom fields for reports.

You can always choose to exclude archived custom fields in a report by not selecting the archived custom field.
Important notes
In your Dashboard, archived custom fields will be hidden in most places except where they are currently in use. Anywhere you see an in-use archived custom field (such as in the settings for an existing item), it will be clearly marked with an “(archived)” note.
If you remove a custom field from an item, you will not be able to re-select the archived custom field from the dropdown.
You can always unarchive a custom field, if needed. To do this, go to the archived custom field by following these steps and unchecking the Archived box.

In general, an archived custom field will still be visible in all the normal places custom fields are visible as long as it is relevant to the information you’re viewing in the Dashboard (for example, if an item is using an archived custom field). All archived custom fields, regardless of use, will be available in reporting
In most cases, archived custom fields will have an “archived” note next to their names, except in some instances. The “archived” note will not appear next to an archived custom field in the following places:
- On the booking overlay
- On the book form (both the online book form and direct book form)
