Archiving custom field groups

If a custom field group is no longer in use, you can hide it on your Dashboard by archiving it. Archiving helps to manage custom field groups that aren’t in use while ensuring that no previous booking information is lost.
Before archiving a custom field group, please note the following important information:
- Archiving a custom field group prevents it from being added to any availabilities that it has not already been added to.
- A custom field group that was added to one or more availabilities and then archived will still be visible to customers while booking until you remove or change the availabilities’ custom field group.
- Archiving a custom field group that is already on future, uncancelled bookings will not affect those bookings.
Archiving a custom field group from an item
From an item that uses the desired custom field group:
- Navigate to the Options & Prices.
- Select the Whole-booking fields tab.
- Select the
next to the name of the custom field group you would like to archive. - Check the Archived box.
- Save your changes.
Archiving a custom field group from company settings
Note: The option to manage custom field groups in your company settings is optional. If you want to try it out, contact FareHarbor Support.
- Go to the Settings section of your Dashboard.
- Select Custom Field Groups.
- Select Edit » next to the custom field group you want to archive.
- Select the
to expand the custom field group’s settings. - Check the Archived box.
- Save your changes.
Viewing archived custom field groups
Note: You need to have company level custom field groups enabled before you can manage custom field groups from company settings.
You can view archived custom field groups both from your company settings (if applicable) and from item settings.
Company settings
From the Settings section of your Dashboard, in the Custom Field Groups tab, you can view your archived custom fields by opening the advanced settings menu (look for the gear icon) and selecting Show archived custom field groups. Archived custom field groups will be located at the bottom of the list by default.
Item settings
Navigate to the item’s Options & Prices, then select Whole-booking fields. Select the Filter pricing menu (located in the toolbar), then select Show archived custom field groups.
Reporting on archived custom field groups
You can still report on custom field answers from archived custom field groups in reports, allowing you to accurately track your sales and bookings (Note: If the custom field itself is archived, it will be clearly marked under an Archived section while choosing custom fields for reports). Important notes
In your Dashboard, archived custom field groups will be hidden in most places except where they are currently in use. Anywhere you see an in-use archived custom field group (such as in the settings for an existing item), it will be clearly marked with an “(archived)” note.
If you remove an archived custom field group from an availability, you will not be able to re-select the archived custom field group from the dropdown.
You can always un-archive a custom field group, if needed. To do this, go to the archived custom field group by following these steps and unchecking the Archived box.

In general, archived custom field groups will still be visible in all the normal places custom field groups are visible as long as it is relevant to the information you’re viewing in the Dashboard (for example, if an availability is using an archived custom field group).
If a Dashboard user is adding custom fields to an existing booking, archived custom field groups and custom fields will be visible by default. In the future, an additional option will be added to show or hide archived custom field groups in this view.
When using the price sheet overview, you can view archived item-level custom field groups by opening the Filter pricing menu and selecting Show archived custom field groups.
