Scanning QR codes from the manifest
Last updated: May 13, 2022
Once you have QR code ticket-scanning check-in enabled, read the instructions below to learn how to easily check-in your customers by scanning QR codes from your manifest.
Choosing a scanning mode
There are several different QR scanning modes available in the FareHarbor app:
Check in customer: Checks in the customer and keeps the camera open so that you can continuously scan codes.
Hide camera, check in customer: Checks in the customer, closes the camera, and takes you to the booking for that customer
Check in whole booking: Checks in all guests on a booking and keeps the camera open so you can scan the next party.
Hide camera, check in whole booking: Checks in all guests on a booking, closes the camera, and takes you to the booking.
Hide camera, scroll to booking: Does not check in the guest, closes the camera, and takes you to the booking (this is helpful if you want to quickly find the booking for a customer without actually checking them in).
In addition, you can also determine what action to take when scanning a code for a booking that is not on the current manifest:
Disallow check-in: Closes the camera and takes you to the booking (no check-in option will be available). From the booking, you can choose whether to scan the next code or finish scanning.
Allow check-in: Closes the camera and takes you to the booking, where you can choose to check in the customer or booking if desired.
Always check in: Automatically checks in the customer or booking and proceeds based on the scanning mode selected above.
Choosing your scanning settings
- In the FareHarbor app, navigate to the Manifest section using the Dashboard menu at the top of your screen.
- Tap Show more and select Set QR scanning mode. If you’re using an iPad or Android tablet, find the Scan QR option in the toolbar and tap the down arrow next to it to show the scanning options.
Choose your scanning mode:

Choose what action to take when a booking is not on the current manifest:

Close the menu.
Tip: Once you find the scanning settings that work best for you, you can save them to a custom manifest on your mobile device so that it will automatically be selected each time you open your manifest.
Scanning QR codes
If you are using the app for the first time, sign into your Dashboard by typing your company shortname and your login info.
Once you’ve logged in, you’re ready to scan QR codes! We recommend having the sound turned up on your device, so that you can easy tell when a code has been scanned.
To scan QR codes with the app:
- Navigate to the Manifest section for the date and time you want to check in.
Tap Scan QR code. If you’re using an iPad or Android tablet, find the Scan QR option in the manifest toolbar.

If this is your first time scanning, you’ll see a prompt asking for access to your camera. Tap OK. You should now see a camera window at the top of your screen.
Point the camera at the QR code, positioning the code inside the box on the screen.

If the code scans successfully, you’ll hear a sound indicating that the code has been accepted. Depending on which scanning mode you’re using, the camera may remain open for the next code, or you may be taken to the booking, which will be marked with a “successfully checked in” message.
If the scan is not successful, you’ll be taken to the booking, and a message in red text will tell you why the code was unsuccessful.
Scanning QR codes for bookings made through OTAs
If your FareHarbor Dashboard is connected to Viator, GetYourGuide, Expedia, or Booking.com using an API, please note the following information about how QR codes are provided to your customers.
QR codes for Viator and GetYourGuide bookings
While FareHarbor provides unique QR codes per individual on a booking, Viator and GetYourGuide vouchers will provide one QR code per whole booking.
This means if you’re using a scanning mode that checks in individual guests on a booking, the app will only check in the first guest listed for Viator bookings. However, you can still manually check in the rest of the party, if needed.
If most of your bookings come through Viator or GetYourGuide, you may want to change your QR scanning mode to “Check in whole booking” to streamline your check-in process, then check in your customers as usual.
QR codes and Expedia bookings
Whereas FareHarbor provides unique QR codes per individual on a booking, Expedia provides customers with a single QR code per booking. As a result, when booking through Expedia, your customers will receive the QR code for the first individual on the booking only.
This means if you’re using a scanning mode that checks in individual guests on a booking, the app will only check in the first guest listed for Expedia bookings. However, you can still manually check in the rest of the party, if needed.
If most of your bookings come through Expedia, you may want to change your QR scanning mode to “Check in whole booking” to streamline your check-in process. You can change your scanning mode by following these steps, then checking in your customers as usual.
QR codes and Booking.com bookings
Booking.com will provide customers with one unique QR code per individual. This means that when the QR is scanned, only that one customer will be checked in – but you will still have the option to “Check in whole booking” so that you don’t have to scan every QR code individually if the whole party is present for check in.
Rebooked customers
If a booking made through Expedia was rebooked to a different date or time, the customer’s QR code will still direct to the original booking. To ensure guests are checked in on the correct booking, go to the Activity section of the original booking and look for an activity that says “Rebooked to #12345.” Tap on the booking ID to go to the new booking and set the check-in status.
Internal-only content. Don't copy and paste to anyone.
It is strongly recommended that clients use the QR scanning capabilities of the FareHarbor app. However, if, for some reason, they want to use a third-party QR scanning app, the instructions are located on the (hidden) page here.
Note: Landscape mode is supported for the FareHarbor Android app, however the QR code scanning functionality will always appear in portrait mode.
