Managing availability headlines

In FareHarbor, headlines are short notes or descriptions that are displayed with the date and time of the activity, and can provide more information about an item or availability. You can manage the availability headlines you apply most often using the Public Headlines section of your Dashboard, which allows you to easily save and use any unique headlines you may want to attach to an availability.
After creating a public headline in your Dashboard, you can add it to one or more availabilities by following the steps below.

Creating a public headline
Public headlines allow you to save and reuse commonly-used information displayed on your calendars, including:
- Headline text: This text will be shown to customers on calendars and throughout the booking process. Be sure to make this part of your public headline short and customer friendly.
Photo: You have the option to add a photo to your public headline. This can be useful, for example, if you need to display a photo related to your specific class or event, rather than using more generic item photos. Public headline photos will replace the item’s primary photo during checkout and in carts. Read about photo recommendations.
Note: Only use photos in headlines if they are necessary. Headline photos will be shown in your Bookings calendar as well as while customers browse, so avoid using photos unless they are needed.
SKU: This is the internal name for your headline that will only be shown to your Dashboard users.
Note: In some cases, if you’re using a public headline to display just a photo or availability notes, you may not need to enter headline text. In this case, be sure to add a SKU so that you can identify the headline when adding to availabilities.
You can also edit more advanced settings after creating your headline, such as confirmation notes. This allows you to set unique confirmation notes for a specific availability. (For item-level confirmation notes, we still recommend managing them in the item’s listing).
Note: Public headline confirmation notes will be sent in addition to any other confirmation notes set on the item level and the company level. Make sure that any information in public headline confirmation notes does not repeat any preexisting confirmation notes.
To create a public headline:
- Navigate to Dashboard Settings > Public Headlines.
- Select New headline.
- Add the content you’d like for your headline.
- Select Save.
Optional: Add confirmation notes in the Advanced tab when editing a headline.

Once you’ve created your headline, you’ll see a preview of its contents in the Public headlines section of your Dashboard. If needed, you can edit the headline by selecting Edit ». From here, you’ll see a preview of what the headline will look like on calendars.

Editing headlines on a single availability

You can set and update a headline on a single availability in the availability overview. You can access the overview from several places in your Dashboard, including your manifest, Bookings calendar, or item calendar. Learn more about viewing availabilities.
To set or update a headline on single availability:
Note: You can update multiple availabilities at once using the availability updater.
- Open Actions & Settings for the availability you’d like to edit.
- Select Public headline.
Select the headline you want to use from the dropdown.
Custom headlines (optional): You always have the option to manually enter a unique headline. To do this, select Custom headline, and enter the text you want to use. Use this option if you don’t have any public headlines created, or if you just want to add your headline directly from the availability.
Select Save.

Once a public headline has been added, it will be displayed on calendars and throughout your Dashboard next to the availability’s name and time.
Private headlines
You can also set a private headline directly from the availability to communicate information to your Dashboard users that you don’t want your customers to see. However, note that private headlines are not reusable or translatable the way public headlines are. Private headlines will be displayed directly below the availability’s name and time.
To edit a private headline, navigate to the availability and locate the headlines section. Select Private headline and enter your text, then select Save.
Editing headlines for multiple availabilities at once
You can edit headlines for multiple availabilities at once using the availability updater. This tool can be accessed from the Bookings section of your Dashboard (if updating availabilities across multiple items), or from an individual item’s calendar for availabilities only related to that item.
Note: In the instructions below, we are accessing the availability updater from the Bookings section of the Dashboard.
- Go to the Bookings section.
From the toolbar, select Advanced > Update availabilities.

From the first section of the updater, select Headline.
- In the second section, choose which availabilities to update by adjusting the date range and items. If needed, you can also narrow down your selection using filters. Read more about these options.
- In the third section, select your new headline or enter a custom one.
- Scroll down and click Preview changes to confirm the number of availabilities that will be updated.
- Select Complete update.
Internal-only content. Don't copy and paste to anyone.
Feature Rollout
- This feature is given to all companies by default, but companies do not have to use it if they don’t need to.
- All public headlines created prior to the launch of this feature in July 2020 will be automatically considered custom headlines, and will still be reflected on calendars as expected.
- Users who are accustomed to updating headlines from the availability will see an additional dropdown and help text when editing public headlines, but can continue adding headlines the old way if they prefer.
When should public headlines be used instead of custom availability headlines?
If any of the following scenarios are true, it is best practice to use public headlines instead of custom headlines on availabilities:
- When the headline is frequently used on the Dashboard
- When translations are needed
- When images are needed
- When confirmation notes for a specific availability are needed
Website Integration
Tip: If you want the customer to see photos in the calendar of availability, ensure the book button opens to the calendar instead of the item description page.
- This is especially important if there are specific pages on the client’s website for each item. In this case, include all pricing, duration, and other info, on the client’s site page for that item. Then set the “Book now” button to lead directly to the calendar so the customer can easily see the availability photos to help them make their decision.
