Making an availability unlisted
Last updated: April 19, 2022
Making an availability unlisted is a useful way to reserve a tour or activity for a private group. Unlisted availabilities are hidden from your online booking calendars, and only visible to people who have the direct link to them.
You can change the unlisted status for a single availability or multiple availabilities at once.
Making a single availability unlisted
- Find and open the desired availability.
At the top of the availability settings, you will see a toolbar displaying the current online booking status for the availability. Click on the current status to reveal a dropdown menu:

Click Bookability from the top of the menu.
- Change the availability from Public to Unlisted.
Below, you’ll see a link that you can then share with your intended audience:

Making multiple availabilities unlisted
Go to the Bookings section of your Dashboard.
From the toolbar, open the Advanced menu and select Update availabilities (Note: to access the updater from a specific item, follow these steps instead):

In the first section of the updater, select Online booking status.
In the second section, choose which availabilities to update by adjusting the date range and items. If needed, you can also narrow down availabilities using filters. Read more about these options.:

In the third section, select an online booking status. (To ensure that people with the link can make a booking, the status should be set to either Auto close or Open. Read more about these options.)
From the Unlisted status dropdown, select Unlisted:

Click Preview changes to confirm the number of availabilities that will be changed.
Click Complete update.
Note: During the Preview changes step, you’ll see a message telling you how many availabilities will be changed. If no availabilities will be affected, double check that you’ve selected the correct options, make any needed adjustments, then click the Preview button again.
Notes
It’s important to take note of the online booking status when making an availability unlisted:
- Unlisted availabilities marked as Open can be booked by anyone with the link.
- Similarly, availabilities marked as Auto close can be booked by anyone with the link, until the availability is full or reaches its time cutoff.
- Availabilities marked as Closed & Call to book or Closed & Hidden will not be bookable, even for people who have the link.
Anyone with an unlisted availability link will be able to view and book the availability, even if you did not originally share it with them. For example, if you share an unlisted availability with a customer, and that customer then shares the link with a friend, the friend will also be able to see and book the availability. Exercise caution when sharing links for unlisted availabilities.
If you have any reseller API connections configured, note that any availabilities that are set to “Unlisted” in your Dashboard will be read as “Open” by the reseller API.
