Changing online booking status

Each of your availabilities has an online booking status, which controls how it can be viewed and booked by online customers. In most cases, the status will be set to Auto close, which automatically prevents online customers from booking after a certain time cutoff, based on your item’s settings.

However, sometimes you may need to change an availability to a different status. This can be done for a single availability or multiple availabilities at once. Click into the sections below to learn more.
Online booking status options
Status options
- Auto close: Automatically stops online customers from booking when the availability is full, or based on the time cutoffs set at the item level. This is the default setting.
- Open override: Allows online customers to book past your online cutoff times, until the capacity is full. This is primarily useful when you know a trip will be taking place and want to allow customers to book online until the last minute.
- Cancelled: Prevents new bookings and customers will not see the availability on your website (Note: setting availability status to “Cancelled” does not automatically cancel bookings for that availability). Read more about cancelling availabilities.
- Closed & Call to book: Online customers are not allowed to book and see a “Call to book” message.
- Closed & hidden: Online customers are not allowed to book and do not see the availability in calendars or lists. In this case, only logged-in users on your Dashboard can book the availability. This is useful if availabilities need to be cancelled and you don’t want them to show up on your online calendar.
Note: Regardless of online booking status, online customers are never allowed to overbook beyond the capacity of an availability or customer type.
Bookability
There are a few additional settings located in the online booking status menu. Go to the Bookability section to see these options.
Public/Unlisted: When an availability is unlisted, it will only be visible to people who have a direct link. Learn how to make an availability unlisted.
Restrictions: By default, availabilities will use the booking restrictions set up in their item’s settings. However, you can also set up booking restrictions in your Dashboard settings, which can be used for individual availabilities. To override booking restrictions for an availability, click the pencil icon and select Override restrictions.
Changing online booking status for a single availability
- Find and open the desired availability.
- At the top of the availability settings, you will see a toolbar displaying the current online booking status for the availability. Click on the current status to reveal a dropdown menu.
- Select your desired online booking status.
Once the new status is selected, it will automatically be updated on the availability’s settings and on your website. You will also see the update in the availability’s activity section.
Changing online booking status for multiple availabilities at once
You can use the availability updater to update the online booking status for multiple availabilities at once, across different items.
Go to the Bookings section of your Dashboard.
From the toolbar, open the Advanced menu and select Update availabilities (Note: to access the updater from a specific item, follow these steps instead):

In the first section of the updater, select Online booking status.
In the second section, select which availabilities to update by adjusting the date range and items. If needed, you can also narrow down availabilities using filters. Read more about these options..
In the third section, select the new online booking status.
Optional: From the second dropdown, select the unlisted status. To keep the unlisted status as is, select Do not change.
Click Preview changes to confirm the number of availabilities that will be changed.
Click Complete update.
Notes
During the Preview changes step, you’ll see a message telling you how many availabilities will be changed. If no availabilities will be affected, double check that you’ve selected the correct options, make any needed adjustments, then click the Preview button again to complete the update. If you’re using the Current online booking status filter, try choosing Auto close or Any status and click the Preview changes button again.

A note about using the availability updater:
If using filters to narrow down availabilities by current online booking status, note that Auto close availabilities will always keep their Auto close status, even if they’re full and automatically appear on online calendars as hidden or “call to book”.
In other words, filtering by Closed & hidden or Closed & Call to book will not highlight these availabilities, because their status is still technically Auto close.
However, if you manually change an availability’s online booking status from Auto close to something else, filters will correctly identify the availability by its new status.
