Advanced report settings

Every Advanced report can be fully customized using a variety of settings. Learn more about these options by clicking into the sections below.
Date range
When setting the time frame for your report, you can either choose a dynamic date range (such as yesterday, last year, next month), or set a custom date range.

After selecting your dates, choose whether you want to generate data based on availability dates or booking dates.
Availability date: Pulls data for all availabilities occurring within the specified date range
Last booked date: Pulls data for all bookings that were created or rebooked within the specified date range
Booking created date: Pulls data for all bookings that were originally created within the specified date range
Check-in date: Pulls data for all bookings that were last checked in with the specified date range
Cancellation date: Pulls data for all bookings that were originally created within the specified date range
If you make bookings for partner companies, you can choose whether to show bookings made for your company, your partner companies, or both.

Notes
- Quarters divide the year into three-month periods, starting in January. For example, the first quarter of the year consists of January, February, and March.
- “To-date” reports generate data for the selected date range up to the current date. For example, This Year-to-date will pull this year’s data up to the current date. Last Year-to-date will pull the same date range for the previous year.
- When using weekly options (This Week, Last Week-to-date, etc.), weeks begin on Sunday.
Filters
Filters can be used to narrow down the data in your report. Filter options will vary depending on which type of report you’re generating. For example, if you’re working with a Bookings report, you can filter by booking data such as Paid Status or Booking Source.
Some reports have more than one filter type (for example, on a Customers report, you can add filters related to both customers and bookings).
To add a filter:
Choose which type of filter you want to add (if applicable).

- Click Add filter.
- Choose what to filter by (for example, Customer Type).
Choose one or more values to filter by (for example, choose which specific customer types to include in your report).

Note: When multiple values are selected for a filter, a booking only has to qualify for one of the values in order to qualify for the filter.
Click Save.
You can add as many filters as you’d like when creating an Advanced report. A booking will only be included in a report if it qualifies for all added filters, and will not be included in the report otherwise.
Note: When filtering by affiliate, you’ll see the option to select None or Any. In this instance, use None to see bookings that are not tied to an affiliate. To filter by one or more specific affiliates, uncheck the Any option. A full list of your affiliates will then be shown.
Grouping
Grouping allows you to organize your data in different ways. For example, if you want to summarize a Customers report by item and then by customer type, you’d select Item, then Customer Type.

The generated report will look like this:

You can add as many groupings as you’d like, and use the
icon to change the order of your groups. The first group in the list will be the first column on the report.
Grouping by dates or times
Depending on what type of report you’re running, you can group your reports by:
- Booking creation time
- Availability start time
- Payment creation time (Sales reports only)
- Expense/Discount creation time (Expenses and Discounts reports only)
This is helpful for comparing your data by hour, date, week, month, or year. You can even group by day of the week to track, for example, which days see the greatest number of bookings.

Notes
Bookings created at 3:15, 3:30, and 3:45pm will all have a Booking Hour of 3pm. This same concept applies to Availability Hour, Payment Hour, and Expense/Discount Hour groupings.
Reports will always use the timezone set on your company’s Dashboard. This means if your company is based in California (PST) and you have employees accessing your Dashboard from Florida, your Florida employees will see times in PST when viewing reports. This ensures that reports will always match no matter where they are generated from.
Note: Keep in mind that date and time information in reports will always reflect your company’s Dashboard timezone setting. For any sections with timestamps, the heading as well as the bottom of the report will have a timezone footnote.
Grouping by Voucher
You can also group your booking and sales reports by voucher in order to understand how much money you have earned, how many bookings you have received and created with the FareHarbor Distribution Network (FHDN) before invoicing.
To group your reports by voucher, in the Advanced report settings, select Voucher in the Group by options. It is also useful to include Affiliate as a grouping option:

Columns
Choose which information you want to include in your report by adding or removing columns.
Summary vs. detailed reports
Determine whether you want to generate a summary or detailed report:
Summary report: View a summary of information, such as booking totals for the month of December, or how many times a custom field was used in the past quarter. If you’ve added groupings, you can also drill into the details of a summary report by clicking the
icon.Detailed report: View detailed data for individual bookings, customer types, custom fields, and line items.
Adding or removing columns
To add a column to your report, choose from the list or use the Find columns search box. Check the box next to a column name to add it. To remove a column, simply uncheck the box.

To quickly select or de-select all columns, click all or none. The default option will restore the default columns for that report.
Summary reports: When working with summary reports, you can specify which columns will be shown based on whether you’re looking at the summary or detailed view. To choose which columns are shown in the summary view, choose Summary. To choose which columns are shown in the detailed view, choose Detail.

Notes
- The columns shown in this section are based on the type of report you’ve selected. For example, if you’ve chosen a Bookings report, you can add columns related to bookings, but not custom fields. If needed, you can switch to another report type while maintaining most of your settings.
- To change the order of columns in your report, we recommend downloading the report (click the

Affiliates and reports
- When filtering by affiliate, the entire list of affiliates is hidden by default in order to improve load times. To filter by one or more specific affiliates, uncheck the Any option. The full list of affiliates will then be shown.
You can also include bookings that are not tied to an affiliate by selecting None.

Note: Bookings made by ASN book buttons/links are both online and network sourced (affiliate) bookings, so they will show up in the report results when either filter is selected.
