Sales reports

Sales reports (located under Reports > Advanced > Sales) can be used to view detailed information about transactions made in FareHarbor. As with other Advanced reports, you have the option to create a report from scratch, or choose from one of the suggested reports:
- Sales by User: A summary of transactions, broken down by the user who created the transaction
- Sales by Availability: A summary of transactions grouped by availability, then payment type
- Sales by Item: A summary of transactions broken down by item
- Refundable Sales by Week: A summary of credit card transactions for the remainder of the year, grouped by availability week
- Revenue By Type: A summary of transactions grouped by accrual status, then payment type, then item
Remember, you can adjust the dates, filters, groupings, and columns on suggested reports just like any other Advanced report.
Important notes and terminology
The terms below are used when running Sales reports by accrual date, and are based on the concept of accrual accounting:
Deferred and Recognized Revenue
- Money is deferred, or unearned, when it is taken for a future booking.
- Money is recognized, or earned, when the activity or event that it was collected for happens.
Example: A customer pays you $100 today for an activity they will join you for in two days. That $100 is deferred, because you have not earned it yet. After the activity is done, the money is now recognized, or earned.
Collected Revenue
Money is “collected” in FareHarbor on the date and time when you (or one of your employees or affiliates) clicks the “Add payment” button on a booking and enters a payment.
Credit card charges are counted as collected on this date, not the date that the money was deposited to your bank account. Affiliate payments are also counted as collected in the same way, usually when the booking is first created.
Accrual Statuses
Recognized Revenue: previously collected (P): Money you collected before the start of date range for bookings that happened within the date range.
Example: If your report is for March 10th – March 11th, “Recognized Revenue: previously collected (P)” shows any money you collected on March 9th or before for bookings on March 10th or 11th.
Recognized Revenue: collected (C): Money you collected within the date range for bookings that happened by the last day of the date range.
Example: If your report is for March 10th – March 11th, “Recognized Revenue: collected (C)” shows any money you collected on March 10th or 11th for bookings on or before March 11th.
Deferred Revenue: collected (D): Money you collected within the date range for bookings happening after the date range.
Example: If your report is for March 10th – March 11th, “Deferred Revenue: collected (D)” shows any money you collected on March 10th or 11th for bookings on March 12th or after.
Other: Payments collected in the future, or, previously collected payments that are recognized before or after the date range.
Selecting a date range type

When selecting a date range for sales reports, you can choose whether you want to see sales information based on the following:
Availability date: Shows information for all availabilities occurring within the specified date range (all recognized revenue)
Last booked date: Shows information for all bookings that were lasted updated (created, updated, and rebooked) within the specified date range.
Booking created date: Shows information for all bookings that were created within the specified date range.
Check-in date: Shows information for all bookings that were checked-in within the specified date range
Payment created date: Shows information for all payments collected within the specified date range (recognized and deferred revenue)
Accrual date: Shows revenue for all availabilities occurring within the specified date range (all recognized revenue), and also includes information for all payments collected within the specified date range (recognized and deferred revenue). Note: You must use Accrual Status grouping on this report for it to be useful.
Filters

In addition to the Bookings filters you may see on other Advanced reports, you can also use Sales filters to narrow down your information.
Credit Card Type: Type of credit card, such as Visa or MasterCard
Dispute Status: Filter by a payment’s dispute status (or choose None to see only non-disputed payments)
Collected Status: Filter by previously collected, collected, or not collected payments
Recognized Status: Filter by previously recognized, recognized, or deferred payments
Accrual Status: Filter by payment accrual status (learn more about these statuses)
Created By: View transactions created by a particular Dashboard user, or choose None to see only payments from online customers
Payment Type: The options here are based on the payment types set up in your Dashboard, such as credit card, cash, or voucher
Payment Created Day: Filter by the day(s) of the week.
Payment Created By: Filter by user(s) on the Dashboard.
Original Ledger (if Ledgers are enabled): Filter by the ledger that was used when the booking was created.
Effective Ledger (if Ledgers are enabled): Filter by the ledger in which the service was performed. It could be the same as the Original Ledger if nothing has been changed.
Grouping

Suggested reports will automatically group data depending on the kind of report you’re pulling (for example, the Sales by User report will summarize your transactions by the user that created them). Learn more about grouping.
Columns
For detailed information about how to add columns to a report, see this page.
While many column names are self-explanatory, there are a few columns for this report type to make note of:
Payment or refund: Shows whether the transaction was a payment or refund
Payment or refund ID: The ID assigned to the transaction in FareHarbor
Gross: The gross of all transactions (payments minus refunds)
Processing Fee: The amount that withheld from the Gross for credit card processing when deposited to your bank account
Net: Gross minus Processing Fees (the amount you collected)
Payment and Refund Count: The total number of payment and refund transactions (summary reports only)
You can also include the Gross, Processing Fee, and Net columns for payments only, or refunds only.
Internal-only content. Don't copy and paste to anyone.
For Dashboards created on 3/22/2017 and after, legacy sales reports (Revenue by Type and Payments Summary) will be disabled by default, along with all other legacy reports.
To enable or disable legacy reports, go to Settings > Info & Policies > Advanced, then look under the Deprecated Features section. If you enable legacy reports and check the “Treat old sales reports as legacy” box, then the old sales reports will be included with the rest of the legacy reports.

When the “Treat old sales reports as legacy” box is unchecked, then you’ll still see the Revenue by Type and Payments Summary in the main reports sidebar. This may be useful for companies that rely heavily on the old Revenue by Type report.
