Using custom fields with adjustable pricing

Custom fields with adjustable pricing allow you to easily add price adjustments to a booking that are accurately taxed and reportable.
With custom fields with adjustable pricing, you can:
- Tax a food adjustment and retail adjustment with their individual food and retail tax rates
- Add price adjustments while making a booking or updating an existing booking
- Run reports on commonly used adjustment reasons to see which get used the most (or the least)
- Override invoice pricing if needed for adjustments
- Support tax inclusion on all adjustments
Setting up custom fields with adjustable pricing
You can enable adjustable pricing for any checkbox, dropdown, or quantity field (learn more about custom field types).
Custom fields with adjustable pricing is one of FareHarbor’s power features. We encourage you to get to know how they work so you can make updates yourself, but if you need a hand, we’re always here to help.

Recommended: To ensure only your staff can make price adjustments, set the visibility for your online price sheet(s) to Visible, Hide when booking. Learn more about custom field visibility.
- In the custom field’s settings, select the
Settings menu. - Select Settings & Pricing.
- Check the box for “Adjustable pricing”.
Configure the field’s options:
- Under the Price column, select None and change the dropdown selection from Inherit to Change.
Using the Set in: dropdown, choose whether the field should adjust the total by a dollar or percent amount.
Optional: Set a default or base price for the field. Otherwise, you can leave as $0.00 or 0%.
- Under the Tax column, choose whether to inherit your Dashboard’s default tax settings or to apply specific tax(es) when the field is used. You can also select “Off” to make the field untaxed. Learn more about tax types.
- Select Save.

When a custom field uses adjustable pricing, you’ll see an Adjustable pricing badge below the field preview. Now, you can add the adjustable custom field to an item or to a custom field group to be used on your Dashboard.
Using adjustable custom fields
Before you or members of your staff can adjust prices on bookings, you’ll need to have the permission “Adjust custom field prices on bookings”. For help managing permissions, contact FareHarbor Support.
To add a price adjustment:
- Locate the price adjustment field. If you’re viewing an existing booking, select the
icon to edit the field. - Make sure the field is selected (for example, if it’s a checkbox field, make sure the box is checked).
- Below the field, select Change price.
Enter the amount of the price adjustment. If you want to enter a discount, be sure to put a minus sign in front of the amount.

For existing bookings: Make sure to Save your changes. Price adjustments will be applied after saving.
Notes:
- If you’re adding an adjustment on an affiliate booking, the invoice price of the custom field is automatically calculated based on the amount you entered and the commission rate on the invoice sheet.
- If needed, you can select Change invoice price and enter a different amount, which will be multiplied by the commission rate on the invoice sheet to calculate the updated invoice price.
- Whole booking field price adjustments will be automatically applied to the booking total. If adjusting a per-customer field, the adjustment will be automatically applied to the customer.
- You can also add a price adjustment to an existing booking, even if the field wasn’t originally included on the booking. Learn more about adding custom fields to existing bookings.
Reporting on adjustable custom fields
You can report on adjustable custom fields using the Custom Field Answers report. Using this report, you can see how frequently custom fields with adjustable pricing were used in a specific date range, view price adjustment amounts and booking totals, and summarize adjustments by reason (if applicable).
Recommended price adjustments report setup:
- In the first column of the report settings, choose whether to report on customer-level or booking-level adjustments.
- In the second column, select your adjustment field(s). In the dropdown below the field name, select When not empty in order to see all instances where the adjustment field was used.
- In the third column, group by Custom Field and optionally Custom Field Answer (this is especially useful for dropdowns containing adjustment reasons).
- It may also be useful to group by Booking, especially if you have bookings with more than one adjustment.
- In the fourth column, make sure Subtotal is selected (this represents the amount of the adjustment). Select any additional columns you want to see before generating your report.
Tip: If you use a text input field to collect manual custom field answers, you can add the text input field in Step 2. In this case, we recommend grouping your report by Booking, then Custom Field Answer.

Overview
Best practice: When possible, it’s recommended you use this feature instead of the Add expense or discount option, which doesn’t support tax types, tax inclusion, or commission. For example, you could create a field called “Price Adjustment” or “Add a price adjustment” which can be used on the book form as well as on the completed booking.
Setup and permissions
- A user will need the “Manage custom fields and what custom fields are added to items” permission enabled in order to manage adjustable custom fields.
- A user will only be able to adjust the field price if they have the “Adjust custom field prices on bookings” permission
- If they don’t have that permission, they’ll still be able to see the Adjustable pricing badge, but won’t be able to change the field
- By default, all users with the permission “Edit values of custom fields on bookings” will be given permission to adjust custom field prices
- Because affiliate permission groups do not have the option to adjust custom field prices on bookings, affiliate users will not be able to adjust prices of custom fields on bookings made for their partners, even if the permission is enabled in their own Dashboard.
Affiliate bookings
- When adding an adjustment on an affiliate booking, the invoice price of the field will be autofilled and the invoice price will be calculated based on the invoice sheet rate.
- The user can manually edit the invoice price (for example, if it’s a referral setup and they don’t want the affiliate to earn commission on the adjustment, they’d change the invoice price of the field to $0.00).
- Note: Using a percentage adjustment field with a billing setup is not supported yet. A future product update will add support for this specific setup.
