Loading Leads with Potential Client Status

Follow these steps to load a Potential Client lead:
- Check the lead for duplicates (See this section for duplicate-checking)
- Create a new lead in Close (Command + Shift + L);
- Input the following information first:
- Company Name
- Contact Name (if applicable)
- Input the following information first:
Best Practice: Use English translation of all cities and avoid special characters: e.g., Málaga.
Contact Section
- Create a new contact
- Add available contact details:
- Contact Name
- Title
- Phone Number
- Contact Linkedin URL
- URL(s)
- Role
- Conference
Best Practice: If a specific role is not available in the dropdown menu, send a Slack message to Lauren Gornik explaining why the role should be added and include the Close lead URL.
URL Custom Object
Within the URL Object add the following custom fields:
- URL Name
- URL
- URL Status
- Conference
- Current Reservation Software:
- Choose the name of the reservation software
- Select None if no reservation software is integrated
- Select Proprietary for websites with custom-built reservation software
Best Practice: If the reservation software isn’t listed in the dropdown. Task Djeneba Keita for further investigation, including the reservation software’s name and a link to its website.

- Search – Paid Search – SEMrush:
- Only required if the number is greater than zero
- TA URL
- TA # of reviews
- TA # Rank (City/State/Country)
Best Practice: Do not add any TA custom fields if the lead is not listed on TripAdvisor. Ensure the TripAdvisor URL uses the .com format. For the TA # Rank copy it exactly as shown on the TA page (e.g., #2 of 58 Outdoor Activities in Makarska). If a page exists but no rank is available, enter “0.”

- Input a maximum of three including the primary type
- Social URL – Facebook
- Social URL – Facebook Likes
- Social URL – Instagram
- Social URL – LinkedIn
- Social URL – Twitter
Location Custom Object
Within the Location Object add the following custom fields:
- Name – City
- Location – City
- Location – Country
- Location – State:
- Required for Australia, Canada, Mexico, and USA
- Location – Island:
- Required for Greece, Italy, Portugal, Spain, New Zealand, and Hawaii
- Social Google Reviews:
- If not available, add a zero
- Address Line 1
- Address Line 2
- URL Reference:
- URL associated with this location
- Location – UK – Country:
- Required for England, Scotland, Wales, Northern Ireland
Account Tier Object
To determine the Account Tier, review:

Opportunities Section
- Create Opportunity:
- Opportunity User:
- Select Sales Ops
- Associated URL:
- URL associated with the opportunity
- Opportunity User:
Best Practice: Create an opportunity only after the URL Object has been created and the URL has been added.
Opportunity and URL Object for NCTLs and Demo Request:
Follow the correct order of operation:
- Create the Opportunity first
- Add the Sales – Owner custom field to the URL Object
BD_CS Note
Use the BD_CS snippet to document where a new lead shares a company name, contact details, POC’s , or other indicators suggesting a possible connection with an existing lead in Close. Clearly explain why the lead could be a duplicate or linked to other companies, and justify why it was loaded as a separate lead.
