Working with availability notes

Availability notes can be used to display key information about an availability at a glance, and are displayed on your manifest and at the top of the availability overview. Notes are ideal for sharing updates and reminders with your staff, as they are never visible to customers.
Markdown can be used to customize a note’s appearance further.

Once a note has been added to an availability, it will be visible on all booking calendar views. Hover over the document icon to view the note at a calendar level.

Availability notes can also be accessed from other locations in your Dashboard. See the sections below for step-by-step instructions on updating availability notes.

Updating notes for an availability
Update an availability’s notes from its settings.
- Navigate to the Bookings tab.
- Select the desired availability from the booking calendar.
- Click on Actions & Settings.
- Click the pencil icon next to the Availability notes option, and enter your note.
- Click the Save button to finalize your changes.
Updating notes from the manifest
Use notes to post important information for staff members viewing your daily manifest.
Notes are displayed directly above the list of booked customers. If you don’t see the availability notes section, you may need to update your manifest display settings. See the steps below for additional details.
- Navigate to the Manifest tab.
- Click the Display options (gear icon) dropdown, and check to ensure the Show availability note option is checked.
- Navigate to and click on the desired availability.
- Click Actions & Settings.
- Click the pencil icon next to the Availability notes option, then enter your note.
- Click the Save button to finalize your changes.
By default, the availability-level notes option will be hidden if no note has been added. If you’d like to add new notes directly from the manifest, uncheck the Hide note area if no note is set option in the Display options (gear icon) dropdown.
Remember to save your updated manifest settings if you want to apply this change to the current manifest.
Updating notes with the availability updater
Use the availability updater to update multiple availabilities at once. You can access this tool from the Bookings tab if updating availabilities across multiple items, or from an individual item’s calendar.
Adding notes to availabilities across multiple items
- Navigate to the Bookings tab.
- Select Advanced > Update availabilities.
- Select Notes in the first section of the updater.
- Determine which availabilities the note should be applied to by selecting the item(s) and any additional parameters in the second section of the updater.
- Enter the note text in the third section of the updater.
- Click the Preview changes button to confirm the number of availabilities that will be updated.
- If an unexpected number of availabilities are identified for update, click the Edit options button to review and revise the parameters as needed.
- If the number of availabilities listed appears to be correct, click the Complete update button to initiate the availability updates.
Adding notes to availabilities for a single item
- Navigate to the Items tab.
- Select the relevant item, then select Calendar from the sidebar.
- Click Update availabilities.
- Select Notes in the first section of the updater.
- Determine which availabilities the note should be applied to by selecting the item(s) and any additional parameters in the second section of the updater.
- Enter the note text in the third section of the updater.
- Click the Preview changes button to confirm the number of availabilities that will be updated.
- If an unexpected number of availabilities are identified for update, click the Edit options button to review and revise the parameters as needed.
- If the number of availabilities listed appears to be correct, click the Complete update button to initiate the availability updates.
