Media
Last updated: May 22, 2025
The Media library holds all the images and uploaded files on a site. You are able to upload images, edit metadata and do limited photo editing within the media library.
Uploading Images and Files
Drag and drop files into the Media Library to upload them or click “Add Media File” then select the files you want to upload.
Reducing File Size
- Large file sizes can occupy too much server bandwidth and cause slow site speed, especially if multiple large media files (images, videos and/or graphics) are used on one page.
- The media library has a maximum file size of 10MB.
- Before you upload an image, try compressing it using an online image compression tool like Squoosh
- Squoosh also allows resizing of images. Reduce large media dimensions and compress the file if it exceeds 2000 pixels on its longest length.
Image Metadata and Links
To edit the metadata of an image from the media library, click on the image.
Alternative Text
When you upload an image, the Microsoft Azure’s Computer Vision API will automatically add alt text. If the API cannot add alt text because the file is above 4MB or it cannot recognize the image, it will appear in a callout banner with a link so that you can go back and add alt text manually (or decrease the file size and re-upload).
Auto-generated alt text is not always accurate, so make sure to check it and make any necessary edits before taking a site live or updating a live page.
- This is what will display should the image fail to load, or should a customer be using a modified browser to help them view the site. The Alt Text should be a short description of what the picture is showing.
- Image Alt-text is also important for SEO.
Title
- The title of the file.
Caption
- Can be displayed in grid format of a Photo Gallery block. Use for important information about a photo in a Photo Gallery such as photo credit.
Description
- Useful for SEO, as it gets indexed when an image is put on the site. The Description of the image will display if, for example, it’s found on Google Images.
URL
- This is the url of the image or file.
- To link a PDF to text on the site, copy the URL of the PDF from the Media library and insert the link into the link field or Rich Text block.
Editing Images on WordPress
Minor edits can be accomplished within the Media Library.
Direct Edits
To directly edit an image in WordPress, first click on it in the Media Library. On the right hand side, click the blue link which reads “Edit Image”.
When editing an image in the Media Library, the edits will be applied to every instance of that image across the site.
- Crop
- Deletes un-selected portions of the image. To select what portion remains after cropping, drag your cursor across the image and adjust the boundaries of the selection.
- Image Rotation
- Flips the image either vertically or horizontally, which can be useful when putting text over an image and you want to retain the focal point of an image (when it’s not centered). Also rotates the image 90 or 180 degrees.
- Scaling
- You can only scale down in WordPress. After scaling, you may revert to the original image size as well.

Site Image Sizing Cheat Sheet
- Header/full row image sizes(landscape or panorama orientation):
- Max: 1600 x 900 pixels (2000 pixel max)
- Min: 1200 x 900 pixels
- Other image sizes: 1000 x 800 pixels minimum recommended

Our sites allow for larger or smaller sizes for the logo. Your logo should be saved as a PNG file with a transparent background.
Videos
We do not upload videos directly to Wordpress. Videos should be uploaded to Youtube or Vimeo and the URL should be added to a video block.
- Full-Width Video Rows and Video Blocks must be hosted on Youtube or Vimeo.
- Dimensions: 1920 x 1080 pixels for a HD videos
- Videos should be uploaded to YouTube in the highest definition possible (720p+ or higher). Learn more about recommended video settings on YouTube.
- If you do not have a Youtube account, check out this guide to getting started with Youtube for tour operators.
- Videos will not automatically play on mobile devices. Videos can decrease the speed of a site so our theme does not allow auto-playing videos. You can add a video block that allows customers to click to play.
- We can not use:
- Facebook videos
- Portrait (vertical) videos for hero sections or other landscape (horizontal) sections
WebP
WebP is Supported
- WebP is a modern image format that provides improved lossless and lossy compression for images on the web. WebP images are around 30% smaller on average than their JPEG or PNG equivalents, resulting in sites that are faster and use less bandwidth. WebP is supported in all modern browsers according to caniuse.
- You can upload and use WebP images in WordPress like you would a JPEG or PNG image today. Switching to the WebP format for your images will improve your site’s performance and your site visitor’s experience.
How WebP Helps You
- WebP images are significantly smaller than their JPEG equivalents, so visitors to your site will see the complete page loaded more quickly. Smaller images take less bandwidth to transmit, and your images still get all of the responsive benefits of srcset and lazy loading by default. Finally, WebP is supported in all major browsers, so most sites can start using them today.
Creating WebP images
- Image editing tools support exporting in WebP, or web based tools like Squoosh. Once you save your images as WebP, upload them to WordPress and use them like you would any other image.
Internal-only content. Don't copy and paste to anyone.
Replacing Images
The replace media feature is ONLY available for Super Admins
- In grid view in the Media Library, the user should see the Replace Media section
- Grid view:

- Grid view:
- When replacing an image, the replacement MUST be the same file type as the original image.
- Example: if replacing a .png, the replacement must be a .png. If it’s a .pdf, the replacement must be a .pdf.
- NOTE: .jpeg, can also replace .jpg, and vice versa:

- If the file types don’t match, the user will receive a message “File types must match!”:

- Once the user has selected the replacement image, and clicked “Replace!”. The user should see a pop up message. Such as:

- Accept the alert if the user wants to delete the original image
- The screen should gray out for a few seconds, and then the user will get another alert saying to clear cache and check alt text.
- Accept the new alert and use ctr/command + shift + R

- We suggest the user to clear browser cache to see the new media.
