Time Clock Guidelines
All Non-Exempt (hourly) employees are required to clock in and out for their scheduled shifts using Workday.
On your Workday home page, under quick tasks, click “Check In” then “ok”
- You should get a message that says you have successfully checked in with the date and time.
- Your Workday home page will now show “You’re currently checked in” under Timely Suggestions.
At the end of your shift, follow the same steps to “Check Out”
Employees who exceed 40 hours per week will be paid time-and-a-half for all time exceeding 40 hours.
- Except in emergency circumstances, prior permission to work overtime should be approved by your manager
All employees are responsible for their own time clock accuracy.
Please clock in and out for your scheduled shifts on time so that time does not build up towards the end of the week.
- If you need assistance completing your work on time please contact your manager.
Employees may not clock in or out for another person.
Falsification of timesheets is strictly prohibited and will result in disciplinary action up to and including termination.
Time cards are reviewed and approved weekly by your manager
Additional Pay
Employees who work outside of regular business hours and/or over 40 hours per week will be paid at the following rates:
- Overtime rate- 1.5x your hourly rate
- Overtime must be approved by your manager
Weekend Rate- your standard hourly rate +$10 per hour
Holiday Rate- All employees will be paid 8 hours at their standard rate
- If you are scheduled to work, 1.5x your hourly rate for all hours worked PLUS the previously noted 8 hours of pay at regular rate
Meal and Rest Break Policy
During each shift you are entitled to one 30 minute meal break and two 15 minute rest breaks where you should not perform any work.
While you do not need to clock out for your meal break, your time slot must be claimed each day here.
15 min breaks should not to be taken between 12-3:30pm (unless there are fewer than 3 people on lunch at that time)
Breaks cannot bleed into one another, or be put on top of lunch break
Working from Home Guidelines
Working from somewhere other than your permanent home must always be requested and approved by management in advance
WFH expectation is that you are at your home, not another location. If you have a special location request, that needs to be approved by management in advance.
Requests received during ‘off hours’ (weekends, or off-hours [after 5pm and before 9am] are not guaranteed to be approved. If you don’t hear back on an off-hour request you will be expected to be in the office or use PTO
Equipment and tools required are at least: laptop + charger and a good/strong internet connection.
In the event you lose internet access at your remote location you are permitted to use your 30 minute break time to troubleshoot the issue and/or relocate. If you are not able to get back online with in 30 minutes you may be required to use PTO.
If you have connectivity issues that are caused by FareHarbor please notify your manager and work with IT to get a resolution as quickly as possible.
Paid Time Off FAQ
- PTO requests are approved/rejected based on the needs of the business (ie ticket volume)
- Last minute requests may not be guaranteed
- A maximum of SEVEN (7) people from the team can be off on any given day pending volume. Once that max. is met, other PTO requests cannot be approved.
- Check Humanity prior to submitting PTO to see if your request can be accommodated

How to Request PTO
When requesting time off you must follow the below steps:
Check if the schedule has been published for the desired dates
a. If not, skip ahead to #2
b. If yes, please attempt to find a shift-swap to get the days off
i. If no one can swap and it’s an extenuating circumstance, reach out to management to discuss options
Humanity– Submit the ‘days off’ request in Humanity for the entire duration of your vacation (ex: Wednesday – Saturday for a total of 4 days)
a. Select the “Leave” tab at the top of the homepage. NOTE: Do not submit using the “Availability” tab.
b. Select “Request Leave” on the top right of the screen.
c. Select “All Day” or “Part of the Day”
d. Select date, or date range you would like off. If it’s one day you can enter that date in both boxes.
e. Select “Submit Request”
WorkDay
a. Wait until the schedule is published so you know how much actual PTO will be used based on your schedule, you submit that amount in your request via WorkDay.
b. When making the request please adjust the daily quantity from 8 hrs to 10 hrs
Technical Support Holiday Policy
Non-Exempt Employees have their own holiday calendar.
- The holidays will align with the actual holiday, rather than using a weekday holiday “observance.”
If you work on a holiday, Pay = 1.5x pay rate for all hours worked PLUS 8 hours of pay at regular rate
If a holiday falls on your day off, you receive 8hrs of regular pay
If a holiday falls on a weekend, you get the greater of the two rates, holiday pay or differential rate

Sick Days
- You are the best person to assess if you are too sick to work, when making the assessment you should consider the following:
- Will I be able to focus?
- Will I be able to maintain typical productivity?
- Can I complete all the job duties expected of me? (phones / emails / slack)
- If you are too sick to work, Slack your manager as soon as possible.
- If it is a weekend:
- Text your direct manager.
- Please remember to check Humanity and also Slack the group of people working that day so they know they will be down a person and can prepare accordingly.
- If it is a weekend:
- Submit hours as ‘Sick Time’ in Workday
- Update your Slack status with the ? emoji so it is clear that you are OOO for the day.
Care Leave
- This leave is available on the condition that a person in need of help requires care or any other non-medical emergencies, and that you are reasonably the only person who can provide care for.
- Read the full policy here.
- Slack your manager as soon as possible.
- If it is a weekend:
- Text your direct manager.
- Please remember to check Humanity and also Slack the group of people working that day so they know they will be down a person and can prepare accordingly.
- If it is a weekend:
- Submit hours as ‘Care Leave’ in Workday
Other Unplanned Absense
- Other situations may arise outside of care or sick leave where you cannot attend to duties as normal, such as home emergencies or other unexpected events.
- For these instances, please reach out to your manager as soon as possible to discuss.
Shift Swap
Shift Swaps must be requested Mon-Fri between 9am – 5pm – swaps outside of these hours cannot be guaranteed if they are last minute requests
Our pay weeks are calculated from Sunday to Saturday each week, shift trades must fall in the same Sunday to Saturday pay week (ex. You cannot trade a Tuesday shift in pay week 1 for a Sunday shift that falls on pay week 2)
- No employee should end up with 50 hrs in a pay week, or 30 hrs in a pay week due to a swap
How to Request a Shift Swap
Post in #shift_swaps in Slack to find a person willing to trade. Once someone has agreed:
Make a new post in #shift_swaps – tag @swap_team (Benji, Cody & Marijana) + the person you are swapping with
Format the message as follows “@swap_team – Person A and I would like to swap my [Day, Date, Shift Time] for their [Day, Date, Shift Time]. Can you please make the update for us?
a. Example: Elle and I would like to swap my Monday, 19 July 7am-5pm shift for her Friday, 23 July 8am-6pm shift. Can you please make the update for us?
