Selling Software Integrations & Zapier

Overview
FareHarbor’s Software Partnership team facilitates integrations with third-party softwares and services our clients frequently use. This includes waivers, photo sales, and CRMs.

Talking to Potential Clients about Software Integrations
Questions to ask:
- What system are you interested in connecting to? And what is it used for?
- Do you already have the integration with your current booking system? How does it work/ how was it facilitated?
- Are you or the third party able to develop the integration? Do you have resources to facilitate and maintain the integration?
- Do you have a dedicated development team? Who is POC here?
- What exactly are you trying to accomplish with this integration? What information/data should flow to the other system?
If the connection is supported through Zapier ask the client if they know Zapier and let them know that we have an integration with Zapier and this could be an option.
Important info to know:
- We do not do development work to connect with their systems
- All bookings made on FareHarbor are pushed through the webhook
- They are responsible for maintaining connection
- Two-way integrations are rare
More technical details:
If a prospective client asks you about integrating with another software or platform that we do not have an integration yet, first please make sure to set clear expectations as FareHarbor does not have an open API. The one tool that we have to send information into other systems is our Webhook functionality. Although convenient for us, the webhook functionality requires the client or third party to invest resources into building a server capable of receiving the payload of our webhook and developing further code to correctly allocate the data that is sent in this payload (if not available yet). Because of this, it often is inconvenient for clients or third parties to try to use our webhook, much more two way integrations.
In a handful of examples we have implemented two way integrations were we would push information via webhook and give “read only” access to a client or a third party through the external API. This is not ideal by any means since most of the time the information we offer through the external API is not enough for the objectives that clients or third parties have.
In the eventuality that a client inquires about the use of our Webhook functionality, let them know that ALL bookings made through their FH dashboard are pushed through the Webhook. The information is also transferred instantly, within 3 seconds of a booking being completed the information is sent. Also, once the connection is established most of the heavy lifting in terms of maintaining this connection is done. Zapier
Zapier is an automation tool that enables the transfer of information from one platform to another, and offers integrations with hundreds of third-party applications. Zapier allows to set up webhooks in an easier way, but it’s good to keep in mind that there are some limitations. You can read more about our Zapier integration here.
For the majority of clients this is how you should respond when asked about Zapier:
“Yes we do have an integration with Zapier, it’s a tool that allows you to connect your information to a number of other software. Like other companies that provide this tool, you need to first be live on the platform and then you will be able to make whatever connections you would like.”
We will look into helping companies set up their Zapier pre-live for verified Tier 3+ and Big Wave accounts. As an AE, you shouldn’t use our integration with Zapier as a tool to sell FareHarbor. In order to make sure that we’re not overselling our integration with Zapier or spending too much time on it, every time you get asked about a possible integration, there are a few questions you should ask, in order for the Sales Engineering team to see if such connection is doable:
- What software would you like to connect FareHarbor to?
- What do you use that other software for?
- What information are you trying to push?
- How will you use this data?
For any Zapier related questions before a company is Live, you can reach out to the Sale Engineers in the slack channel #zapier_sales.
The team will try its best to figure out if a certain connection is possible but only for verified Tier 3+ or a Big Wave leads, although this might not be possible depending on the access to the software that they’re trying to integrate with.
Zapier – Templates and Video Examples
In this section, you will find different templates and videos of connections between FareHarbor and other web applications, through Zapier.
General limitations of connecting FareHarbor to an accounting/invoicing system through Zapier:
- In case changes are made to the booking subtotal, it’s not possible to automatically update the previously created Sales Invoice associated with it, a new one will be generated in the invoicing system.
- You can only extract 1 price per booking.
- You cannot retrieve the price per person and the number of people selected per CT.
FareHarbor to Xero (Accounting Software)

- Creates a new Sales Invoice Draft (for final client) on Xero.
- The created Draft should then be “Approved” on Xero.
Limitations
- It’s not possible to extract the price per Customer Type to Xero.
- You can only extract 1 price per booking.
- If changes are made to a booking, it’s not possible to automatically update the previously created Sales Invoice associated with it, a new one will be generated.
- Xero doesn’t accommodate different types of taxes per price (multi-tax).
FareHarbor to Moloni (Accounting Software)
- Creates a new “Customer” on Moloni when a booking is made.
- In Moloni, the user will then have to create the invoice manually using the new customer’s details. These include the client’s full name, VAT number, address, zip code and city, all are pulled from the FareHarbor dashboard.
FareHarbor to Jasmin (Accounting Software)
- Creates an Invoice Draft in Jasmin.
Limitations
- No option to extract the price per Customer Type to Jasmin.
- You can only extract 1 price per booking.
- If changes are made to booking, it’s not possible to automatically update the previously created Sales Invoice, a new one will be generated.
FareHarbor to Mailchimp (Marketing Platform)
- A new subscriber is automatically added to a specific Newsletter Audience in Mailchimp, but only if they have ticked “Get future email updates from Company X” during the checkout process.
- Possibility for the final client to receive a welcome email from Mailchimp within a few minutes of booking on FareHarbor.
FareHarbor to Zoom

- A new registrant is automatically added to the Webinar list on Zoom.
- The final client will receive an email from Zoom within a few minutes after booking on FareHarbor.
