Who’s responsible for reservation transfers?
New clients:
- The onboarder is responsible for the formatting and coordinating the reservation transfer.
- If the transfer is 100+ reservations the AE is responsible for assisting with the transfer and organizing more help from the sales team in order to complete the transfer in a timely manner.
Existing clients:
- For clients returning to FH OR for new dashboards for existing live clients, an Onboarding Trainer & Builder team will be assigned to get the dashboard corrected and checked, the reservation transfer doc formatted, and reservations entered with help from the Account Manager, as needed.
- Live client reservation transfers on existing dashboards are the responsibility of AM. For 100+ reservations, the Onboarding Team can be asked to help with ample notice but the AM should project manage and provide all the necessary information.
What information do we need?
- Availability (date and time)
- Item (same as the Dashboard – SKUs)
- Affiliate and voucher
- Client (Name, Phone, Email)
- Booking Notes
- Customer types
- Custom field information
- Total
- Payment type
- Old Booking ID
General process
Make sure the company is out of demo mode. If there are a lot of practice reservations from demo mode, the dash can take a few hours to wipe clean before going live.
If there are problem reservations, mark them down and discuss with the client. (e.g. a booking note in the old software that says “we may issue a partial refund upon arrival” needs to be flagged and discussed with the client.) Payments processed through the old software can’t be refunded to the customer’s credit card in FH, clients must know this.
Be sure you are using the correct data format (EU dates are different). For EU transfers, to make sure the dates are correct, before you add any data, change the location of the Reservation Transfer template document after duplicating it, by clicking on File > Settings> Locale choose The Netherlands.
Payment type should be “paid in [old software/processor]”.
Confirmation emails should NOT be selected to go out to any of the bookings.
All transfers should be completed through a shared report (Google Docs) to avoid duplicates. For instructions on how to pull a future reservations report from Xola, Peek, Rezdy, Trekksoft, or Zaui, see below.
Copy and paste all reservation details from past booking software into “Add a comment to this booking” in FareHarbor. If the item names on the sheet are different from the ones on the Dashboard, use SKUs to match them. Or use the Find and replace option on the sheet to match it with the Dashboard items’ names.
$$ value from old reservation software should match $$ value in FareHarbor (use add/expense or discount if necessary, labeled “old reservation software transfer”). Do NOT set total.
Delete the old software from Payment Types once transfer is complete, if that’s what the client wants/needs.
OB to organise the double check. AE should help if OB team is short on resources.
DOUBLE-CHECK: All reservations must be double-checked. Talk to your manager about coordinating the check process. To double-check, pull a bookings report, and compare against the export. Be sure to do one final sweep of the old software as well.
In order to complete a reservation transfer double check, you must create a new column in the reservation transfer doc labeled “checks.” You must individually mark each reservation as checked in that column with an “x” as you would mark a completed transferred reservation.
You are required to place the reservation transfer doc in Close under the custom field “OB Res Doc.”
Turn off the old reservation software.

Please use this template to format your reservation transfer document.
- Open the template and make a copy (File > Make a copy)
- Enter company, AE and OB information as well as transfer instructions in the Transfer Instructions sheet
- Follow the instructions on the Document Formatting, Counter & Copier Instructions sheet to format the document

Note: All reservation transfer documents should be sorted by date.
Best Practices and Tips
- Use adjustable custom fields to change the value of a booking if needed (don’t use add expense or discount or Change booking value)
- If the item names on the sheet are different from the ones on the Dashboard, use SKUs to match them. Or use the Find and replace option on the sheet to match it with the Dashboard items’ names
- Double check your work: Pull a bookings report and compare against the export.
- OB is responsible for double checking.
- AE helps if OB resources are short.
- Let the client know that payments done with the old software are not refunded with FH.
- Try to organize the columns in the order they will be used.
- Do at least 1 booking per item to create your instructions.

Note: Before asking the client the logins to their current reservation system and offering to export the data for them, please, first make sure they can get the export document on their own and send it to us in order to save time and effort. Each reservation system is different and we are not experts on each of them. Client’s can contact the support team of their reservation system in case they don’t know how to run a report in it. Offering to get the report for them should be our last resource in case the client can’t send it to us.
Acuity
- Go to Home Page and click the arrow in the upper left corner:

- Select Reports from the list:

- Select the option to “export” on the left hand side. Set filters to include your custom date range.
- Select “export appointments”

Bookeo
- Go to Marketing > Reports > Bookings
- Select “the date booked” for date selection.
- “Other” for date range.
- Add a date range.
- Note: You can only do this for a 3 month period at a time. You will need to pull multiple reports to cover more time.
- Use filters below to remove canceled bookings or items you may not need.
- Click Go in the upper right corner.
- Click Download in the lower right corner.
- Move info to reservation transfer doc.
Bookify
- Login
- Click ‘Reports’ on the upper tab and then click ‘Exports’
- Click the bookings tab and select the time period you want to export for. You can filter bookings further here as well.
- Scroll to the bottom of this screen and click export.

Booking Bug
- Calendar > Search > Search by booking detail
- Select “all service, all status, all paid, all future, exclude canceled”
- Export > Choose the option to “export with customer info”
BookingKit
- Go to Statistics and click on the Export tab.
- On the dropdown, choose what type of expert you want to make (bookings, orders, vouchers, etc.)
- Select the date frame of your export.
- Select on the box on the left, the information you need on the file for the transfer.
- Choose the format and then click on export.
Customer type information is not available on the reports. If you don’t see the “Statistics” tab, then your user does not have enough permissions and you’ll have to reach out to the client to get higher permissions.
Checkfront
- Calendars > Customer > Show 6 weeks (maximum time allowed)
- Scroll across the 6 weeks and click into bookings as they appear
- Copy info from booking
For promo codes:
- Inventory tab > Discounts > Copy into FH
Eventbrite
- From the main menu, go to the upper right hand side where their company logo is and select Manage Events
- This page should have a list of all events the client is offering
- Each event has to be reported on separately and to do so, you must click into that event
- Scroll down on the overview page of the event to ‘Recent Order’ and choose view all
- From this page, you will see at the top Report Type – Orders and then under ‘Export’ you can select the file format for the report
- Once the report is created, you will have to move columns around in order for it to be displayed correctly (i.e customer name, email, phone)
After the reservation transfer is over – you will need to make all events PRIVATE. . This is crucial for most of these events will show up on Google and/or Facebook if you do not:
- Go back to Manage Events
- Choose the event(s)
- Once on the events’ overview page, choose Edit
- At the bottom of the edit page under Step 3 of Listing Privacy, select Private page and uncheck all boxes correlating to social media and save
EzTix
- Login with client’s information
- There are two options to obtain future booking information in EzTix, one that allows you to export a file and the other that gives detailed booking information (i.e. custom fields) but you cannot export the information to excel
Option 1: Export reservations to a new file, without detailed booking information (custom fields)
- At the top menu bar, click on “Global”
- On the left hand bar, click on “Sales & Reports”
- Scroll down and select “Sales Report” (first option) > Click “Build Report”
- A new window will appear, and click on Event date (today’s date to 1 year out) and any important Report fields

- At the bottom, click “Go” to generate a report
- At the top of the page, you will be able to export the report with the button “Download XLS report”
- Keep in mind, this is a sales report so when reviewing it, be mindful of refunds that may have occurred. You will notice both the sale + refund for the same booking, indicating a cancelled booking
Option 2: Get detailed booking information, without being able to export results
- At the top menu bar, click on “Bookings”
- By default, all bookings will show
- Click on “date range” then “by event date”
- Use today’s date to an appropriate future date in the left and right calendars
- Click on “Filter Events”
- You can sort by Event date by clicking on the column “Date/time”
- One by one, click on each booking and transfer over the reservation
- Be sure to keep an eye out for cancelled bookings
- Although this report does not export, you can copy and paste the results into a Google Sheet/Excel
- Keep in mind, you will still need to click onto the booking in order to see booking details such as custom fields but working off a Google Sheet will all you to organize with multiple people to work on the transfer at once
GoDo
Log in to GoDo and navigate to the Dashboard

Select a date range and hit enter to automatically populate the bookings and items. Open the individual manifest for each item line in a new tab by right-clicking View Manifest, then selecting Open in a new tab.

Copy and paste all the customer data on the tabs you opened into the book form in FareHarbor.
Unfortunately, GoDo has no way to export this information in a way that’s useful to us, so you will have to manually copy/paste the information.

Google Calendar
- Before you start…Is your transfer less than 30?
- If yes, Just do it yourself straight from Google calendar!
- If no, buckle up and get ready!
- To export files you must have permission to do so. When asking the client to share their calendar with you ensure you are given the correct permission level.
- Steps for client
- First click on the 3 dots next to the calendar to be shared:

- The client will then add the email address for who they are sharing the calendar with (you!):

- Be sure the client selects the level to “make changes and manage sharing”.
- First click on the 3 dots next to the calendar to be shared:
- Now that you have the correct permission level stop and check your time zone !
- If you do not set your calendar to the time zone for which you are exporting it will show you avails in mountain time and ALL OF THE TIMES WILL BE WRONG.
- Export the Calendar to an ICS file

- Use this converter to convert your downloaded file to a CSV file :
- You can open this file now in Excel or Google Sheets.
- Downside : this will convert everything on the calendar to the CSV file meaning events from ALL time will be included. (i.e. if they have use Gcal since 2016 it will download all events on the calendar from 2016-infinity and beyond you will have to filter by date and remove many lines from your export)
- NOTE: this is not a perfect process and you will have to rely on the notes on the calendar from the client. Make sure you are communicating with them every step of the way!
High Trek POS
- Once logged in, click Reporting > Reservation Reports on the left side toolbar
- Click Reservation Calendar at the top of the screen
- This view shows their upcoming bookings for the entire month. If you click on a booking, you can see the availability info, order total, balance due, and number of participants. Be sure to click Show More at the bottom of each date to see all the bookings on that date.
- Unfortunately, this software doesn’t allow for a report to be pulled and exported.
Peek
- From the menu on the left, go to Customers > Search
- Run a search by activity date for future date, custom date range
Use the blue button in the bottom right hand corner to export to CSV

Deactivating Peek
- Go to Products > Activities
Go into each activity and set the capacity to 0 (where it says “Max Guests”)

For availabilities that already had bookings on them, go to Calendar and set each as call to book. To make this easier, filter the calendar to only show availabilities with bookings.

Then set the online booking cutoff to 999 hours, for each activity. Be sure to check the box!:

Removing Reserve with Google
When a client transitions to from Peek to FareHarbor, they must contact the Partner Support team within Peek. The customer must reach out to the Partner Support team requesting to have Peek remove the google integration at (415) 361-5564 or by emailing partnersupport@peek.com in order to complete the process. It will take 1-2 business days for the activities to no longer appear in Google Maps and Search.
Resmark
- Reservation date is the date the booking was made and travel date is the date of the activity right.
- In the reports section, you need to do some digging to find the report with the most info. For Colorado Jeep, they had a custom report labelled “Sales by Reservation Detail.” That had most of the info needed but not the availability times, so that had be searched for.
- Don’t run a report for more than one year at a time.

Rezclick
On the left in the menu click Class/Series > Manage > then you will see Search function and there you fill in the date range you want to see > Search.

Below you will see the dates pop up, you will see Class, Date, Title, Mx, Enrolled, Open, W.List. You will need to click into the number under Enrolled, then you will see all the bookings for that availability – here you will see Buyer, Phone, E-mail, Seats, Orders, Attendees and Codes. You will not find in there if a client paid in full or only paid a partial amount or the total.

If you are looking for that information you need to click Orders > *Find** on the left and then you can search for a name. The booking will come up, where you will see the price and the total.

You could also use their reports section, which isn’t very helpful either. The only way how you can get data is putting in the purchase date, but then you still have to click into the order number to get all of the needed information.


Rezdy
- On the left side, go to Reports > Products (Basic).
- On the top navigation bar, click on Legacy Reports.
- Then, select Custom Date Range and adjust the date range starting with today’s date, and ending in a few years. This will capture all future reservations.
- If you want to apply filters, click More options.
- Click Refresh and scroll down to show/hide columns if you want.
- Click Export to CSV.
For gift cards:
To access vouchers on Rezdy, go to Inventory > My Vouchers. You will see that some are marked as ‘Redeemed’ and the outstanding vouchers are listed as ‘Issued’. The ones marked as ‘Issued’ are the ones that you need transferred over. Most are $50 vouchers but there are $25 vouchers there as well.
There is the option to export to CSV, which is in a tab on the right-hand side of the page. From there you can save as Excel, etc.
Rezgo
- Tough to pull all info from one report
- Double check with their “recent bookings” > scroll for customer information (Name, Phone, etc.)
Rezware
- Go to the Reports tab.
- Go to the Boarding Manifest.
- A Rezware Report dialogue box will appear with all of the products/trips/cruises you have created within the system.
- Select the products you would like to generate a report for.
- Then click the right carrot > to move products into the reporting queue.
- Once there you will need to set the search parameters in the lower left-hand corner. Example: Checked-In, Cancelled etc.
- Set the date range.
- Click Generate, once the report is generated. You will need to go to the upper-right tabs with Report view type and select Grid. (If you don’t select Grid it will not have the Reservation date included.)
Ticket Spice
- Log in with Webconnex.com log in.
- Select Reports > Exporter.
- Select Export Orders.
- Within the order exporter select the “pages” that you want to include.
- Select the “fields” you would like to see on the report:

- Download CSV file.

Trekksoft
Step 1 – Future Reservation Export
- Reports > Sales.
- Switch to List View.
- Select time frame in the “Apply Filter” (1 year from current date). Trekksoft only has the ability to run 1500 lines at a time.
- Export to Excel. This report will provide the necessary information for booking (date, source, guest name, basket ID). It does not provide guest contact info (see step 2). Also, each person is separated per line, so you can put all guests with the same Basket ID in one booking.
Step 2 – Guest Contact Info
- Bookings > Overview.
- Set max per page to 100.
- Sort by “Booked at” and you can matchup with the export of future reservations to attain the Contact Info.
- Note the dates since it will most likely be in Euro date formatting. Expedia pushes info into Trekksoft in American date formatting.
Step 3 – Archive Products
Not sure where these bookings would show up, but a few came in from 1916 Rising after we integrated, so potentially the CMS site (Trekksoft marketplace).
- Inventory > Activities.
- Under the Activities Overview tab, you will see a list of all active items. Choose options and select “Move to Archive”.
- Under the Archived Activities tab, you will see all the archived activities.
TuriTop
- Log in.
Select “Bookings” from the header.

Set the date range by “Event Date” to encompass all future availabilities.

Click on the orange export button on the right-hand side.

Select “Download Excel”.

- Once downloaded. you can filter or hide irrelevant columns.
Vendini
- Login to Vendini and click on REPORTS in on the top bar:

- Select “Date Range” and then set all relevant filters (i.e. Dates).
- Set “Report Type” to Gross Receipts.
- Within “column” select the customer info you would like included with the report.

- Generate report!
Wordpress Booking Plugin
- Dashboard > appointment booking center > comes up with item list.
- Hit bookings list button (not much uniformity).
- Export to CSV.
Note: This was for a case that was just a request form, doesn’t show payment or much else. Some people use Wordpress to take payment so adjust as the case changes.
Xola
- From the Reports tab, click Analytics.
- Set a past date range. Think about how far out customers typically book the activity. If you don’t know, set the range for a year.
- Click Export Events.
- In the Excel file, there are two tabs (Events and Bookings). Click the Bookings tab to see all reservations.
- Use a filter in Excel to remove any past reservations.
To add customer contact data (specifically phone number) to the Events report from Xola:
- Hover over CRM, click Customers.
Click Export Customers in the top-right corner.

In your Bookings sheet, create a new column (for Phone number).
Your Customers report should have Name in column A, Email in column B and Phone in Column C:

You can now use the following formula to index and match customer phone into those respective columns on the Bookings sheet:
=INDEX(Customers!C:C,MATCH(C2,Customers!A:A,0))Customers!C:C is the C column of your customer contact report (Phone number).
- C2 is the column on your events/bookings report with the customer name.
Customers!A:A is the column on your customers report with the customer name:

Zaui
- Go to Reports > Customers > Customer details by activity date > Process. This will give you a pop-up with report info.
- At the top you can export to Excel.
