New Partner/Affiliate (P/A) Lead Submission

Similar to the process for New Companies to Load, anyone at FareHarbor can submit a New Partner/Affiliate (P/A) form. Strategic Partnership Operations (SPO), Strategic Partnership Managers, Channel Support or Connectivity team request for a new P/A lead by submitting the New Partner/Affiliate Lead form. This form upends the request in the Lead Generation Process Airtable.
It is important to note the source of the P/A request and distinguish between P/A’s with or without a shortname as this influences the lead’s creation in Close.

P/A Leads with a Shortname
Submitted when a FareHarbor client teams up with a reseller, requesting a new Partner/Affiliate Dashboard. The form includes a shortname, which populates in the Affiliate FH Shortname column in Airtable.
The BI Script:
- Searches for the shortname in the Close
- Creates a new lead using the unique shortname
- Adds the shortname and FH URL in a Dashboard Object for the new lead
The team must verify whether the new lead is a duplicate or unique.
If the lead is not a Duplicate:
- Search and verify additional contact information
- Search for company Social Media, TripAdvisor, and Google Page information
- Add information from Airtable in the respective Custom Fields
- Reference to Loading leads with P/A status
Assignment and Task:
Best Practice: If you don’t know which department submitted the request, find the submitter on Slack and check their job title to identify the correct department.
If a SP – FHDN Sales Owner or SP – API Partner Owner is in the submission:
- Add the SP-Company provided in Airtable
- Assign the corresponding SP – FHDN Sales Owner or SP – API Partner Owner
- Create a task for the submitter labeled “New P/A Loaded”
If the Channel Support/Connectivity team submitted by request, do not assign or task:
- Add the bd_patl note.
- Type “/” in a new note to open the Quick Insert Menu
- Select the bd_patl snippet and adjust the note as necessary
- Record any additional comments from the submitter in quotation marks
- In Airtable:
- Choose the appropriate status for the lead you just processed (Completed/On Hold/Duplicate)
- Add the Lead ID
Best Practice: Occasionally, glitches may cause the BI script to fail in creating the lead. If so:
- Add your initials to the Airtable record
- Change the Airtable record’s status to On Hold
- Notify your Manager or Team Lead of the issue
- Do not create the lead manually. Wait for further instructions
Duplicate Leads for P/A Submissions with a Shortname
No Dashboard object:
If the existing lead in Close has no Dashboard object:
- Task Lead Gen Process to merge them
Same shortname and Dashboard:
If the existing lead in Close has the same shortname and Dashboard as the one in the submission form:
- Verify using the FH URL
- Task Lead Gen Process to merge the leads
Same company with multiple Dashboards, and same or different shortnames:
If you come across a company with multiple affiliate Dashboards, whether they share the same shortname or have different ones:
- Send a Slack message to Manager of Channel Support, Lead Generation Manager, and the submitter
- State [Company Name] has multiple affiliate Dashboards linked to the same company
- Include all relevant Lead IDs in Close to help the team
- Wait for further instructions on how to proceed
P/A leads Without a Shortname
Typically submitted by the Strategic Partnership team after lead research. These leads usually do not have a shortname or dashboard, and are not created automatically.
If a P/A lead has no shortname:
- Perform a duplicate check
- Manually create and load the lead
- Assign and task the SP-FHDN Sales Owner or SP-API Partner Owner if available
- Assign the lead to Strategic Partnership Operations if owner is unavailable
- Task the submitter: “New P/A loaded”(
- Add the bd_patl note
- Type “/” in a new note to open the Quick Insert Menu
- Select the bd_patl snippet
- Adjust the note as necessary
- Record any additional comments from the submitter in quotation marks
- In Airtable:
- Choose the appropriate status for the lead (Completed/On Hold/Duplicate)
- Mark the lead as Manually loaded next to your initials
- Add the Lead ID
Duplicate Leads for Outbound P/As
If the newly submitted lead already exists in Close, do not load it:
- Start a Slack chat with the submitter
- Inform them that the lead is a duplicate
- Select status Duplicate next to your initials in Airtable
Best Practice: Do not copy and paste comments into a note if they include a lead ID or URL. Instead, replace the lead ID or URL with a shortname or a company name. This approach enhances report accuracy and improves duplicate checking.
Submissions for API Multiple Currency Leads
It is common to receive a new P/A lead submission for a partner already in Close with existing API dashboards. For major API partners operating across multiple locations and currencies, a new dashboard tailored to the specific location’s currency is needed. If API Multiple Currency is selected in the SP-Affiliate Setup column in Airtable, and there’s a new SN (e.g., viator-eur) then do not treat this lead as a duplicate, follow these steps:
- Search for the new lead created by the BI script with the shortname and FH URL
- Load the lead using the information available on the form, Airtable, and other sources such as the partner’s website
- Add the bd_patl note
- Type “/” in a new note to open the Quick Insert Menu
- Select the bd_patl snippet
- Adjust the note as necessary. Any additional comments from the submitter will be recorded in quotation marks
- Notify the submitter by setting a task: “New P/A loaded.”
- In Airtable:
- Choose the appropriate status for the lead (Completed/On Hold/Duplicate)
- Add the Lead ID
