Loading Leads with P/A Status

Before adding a Partner/Affiliate (P/A) to the CRM, it’s important to assess the quality of the lead.
Use the following criteria to determine whether the P/A is a good fit:
- Demonstrates significant organic search traffic (10k+ monthly visitors), paid traffic, or includes outbound links to other affiliate websites or tour operators.
- Operates in regions with a high concentration of existing FareHarbor clients within the FareHarbor Distribution Network (FHDN).
- Offers a diverse range of bookable activities or experiences directly on their website.
Once the fit is reviewed, follow these steps to load a P/A lead to Close:
- Check for duplicates (See this section for duplicate-checking)
- Create a new lead in Close (Command + Shift + L)
- Change the status from Potential Client to Partner/Affiliate
- Input the following information at the lead level:
- Company Name
- Contact Name (if applicable)
- Lead URL
If you come across an affiliate promoting tours and activities on platforms like Pinterest, Instagram, or TikTok without an active website, make sure to note this in two places:
- In the Description field:
- Include the social media URL along with the note: “Website not live.”
- In the URL Object:
- Add “Website not live.”
Contact Section
- Create a new contact
- Add available contact details:
- Contact Name
- Title
- Role
- Phone Number
- Add the correct country code
- Email Address
- LinkedIn Page
- URL
- Conference (if applicable)
URL Custom Object
Add the following custom fields to the URL Object:
- URL Name:
- Website not live, if no URL is provided
- URL
- URL Status:
- Partner/Affiliate
- LG – Tag:
- Required for projects
- Conference:
- Required for a conference projects
- SP – Company type: See this section for all company type options.
- Current Reservation Software:
- Select None if no reservation software is integrated
- Select Proprietary for websites with custom-built reservation software
- Search – Organic Search – SEMrush
- Social URL – Facebook
- Social URL – Facebook Likes
- Social URL – Instagram
- LinkedIn URL
- TikTok URL
- TA URL
- TA # of reviews
- TA # Rank (City/State/Country)
Best Practices: Unlike sales leads, the custom fields for Account Tier, Opportunity, Primary Type, and Activity Type are not required.
Location Custom Object
Add the following custom fields to the location object:
- Name – City
- Location – City
- Location – Country
- **Location – State*
- Required for Australia, Canada, Mexico, and USA
- Location – Island
- Required for Greece, Italy, Portugal, Spain, New Zealand, and Hawaii
- Location – Region
- APAC, EMEA, NORAM
- Social – Google Reviews
- Address Line
- URL Reference
- Location – UK – Country:
- Required for England, Scotland, Wales, Northern Ireland
BD_CS Snippet
If a newly created Partner/Affiliate (P/A) appears to have a possible connection to other leads in Close, leave a Contact Shared note. This helps maintain transparency and avoid duplication across accounts.
Add a BD_CS Snippet if the P/A shares any of the following:
- Company name
- Contact details (e.g., email, phone number)
- POC
- Any other indication of a potential relationship with existing leads
