Dormant Mode Request

Dormant Mode allows clients to switch their websites to an off-season state, informing potential bookers that the business is currently inactive. During this time, visitors are shown curated in-season activities from FareHarbor’s Distribution Network.
When a website is in Dormant Mode paid clients will:
Stop paying the monthly fee for web offerings
Have the option to join the FHDN as affiliates, potentially earning passive income
Allow FH to promote other products and services on their dormant webpage
Note: Clients will NOT have backend website access, nor will they receive support from LSS to make edits to the website during Dormant Mode
Clients can reactivate their sites and resume monthly fees when their season starts. This help doc will outline the steps required to set up Dormant Mode when a client requests it and the process to reactivate their website when their season begins again.
In order to start the process of putting a site into dormant mode, the Account Manager or client must submit a ticket to the LSS queue.

LSS Steps to Turn Dormant Mode On
Step 1: Check that client has NO AVAILS
Check that client has NO AVAILS for the time they are requesting Dormant Mode.
To check avails: Visit a client’s FareHarbor Dashboard. Go to the “Bookings” tab in the top left corner. In the second row of dropdowns, select the first dropdown with the options Month, Grid, Agenda, Timeline and choose “Month”. The months requested to be in dormant mode should not have any availabilities shown.

Response to clients who have activities coming up on why they can’t go into Dormant Mode:
- “Dormant mode can be initiated during a month when you do not have current availabilities in your dashboard. We see that you have availabilities created through October so at this time, Dormant mode can be initiated in November. If you decide to remove availabilities for any upcoming months, we can initiate dormant mode sooner. When Dormant Mode is initiated, you will not have access to our Live Sites Support team and you will not be able to make edits to the site yourself. Our team will then update your website by selecting other tour providers in your area that we feel complement your activities (we do not select any providers that will directly compete with your tours) and add those to the top of your homepage. This will allow you to earn passive income from reselling those activities while you don’t currently have any of your own activities to sell. You will receive a commission when customers book those activities on your website. Please let us know if you have any additional questions and if you would like to initiate Dormant Mode in November when your tours are no longer running. We will make a note to update your site at that time.”
Step 2: Complete workflow in #fareharborwebsites
LSS completes workflow in #fareharborwebsites to alert AM, Nick (Operations), and FHDN.
Required information for the workflow: Account Manager, Company Name, Company Website, Dormant Mode Start Date, Confirmation that client does not have future live avails for the months they’ve requested to be in dormant mode. If the client provided a date they would like to leave dormant mode, please include that as well.
Step 3: Turn Dormant mode on in Close
This will tag the client in Zendesk to notify any LSS/Support agent that the client is in Dormant Mode and make sure they do NOT service the site/give help/make updates when a client is in Dormant Mode.

Step 4: Add Admin Note in Wordpress
LSS adds Admin Note on backend of Wordpress site that client is in dormant mode so no one should make updates.
Wordpress Admin Notes can be added to the backend of the client’s website via Settings > Admin Settings > Internal Notes.
Add this message to Internal Notes: “This client’s website is in Dormant Mode. DO NOT MAKE ANY CHANGES TO THIS SITE. This client will need to request to turn off Dormant Mode and continue paying for their website package before changes can be made.”
Step 5: Change Wordpress User Credentials
LSS moves all users on the client side to Subscriber User Type.

Step 6: Create Dormant Mode Page
Once FHDN sends 3-6 FHDN clients in the region, LSS duplicates the homepage and creates the dormant mode page.
To create the dormant mode homepage:
Start by building out the affiliate activities provided by the Strategic Partnerships team. They should only provide up to 6 activities. If more are provided, you only need to build the first 6 in the spreadsheet.
Next, duplicate the current homepage and name the new page Home – Dormant Mode.
Add an Activity Grid row with each of the affiliate activities. Add a heading to the row with something similar to “Check Out Local Tours Happening Now”.
Adjust the client’s homepage activities to only include “Learn More” buttons, no “Book Now” buttons.
Once the page is complete, go to Settings > Reading, select the Home dropdown and choose the new Home – Dormant Mode page.
Change the old Homepage to a draft by going to the page, finding the Publish box and changing the Status from Published to Draft.
Double check that the new Dormant homepage is live.
Step 7: Notify those involved that Dormant homepage is live
LSS lets the client know that their site is in Dormant Mode and replies to the Dormant Mode Request thread that the Dormant homepage is live.
Other Team Responsibilities to Turn Dormant Mode On
FHS Onboarding (PC/PM, WCS)
Once a client communicates they are going live in Dormant Mode to the PC/PM (this should be previously discussed and approved by the AM or AE), the PC/PM will submit the “Dormant Mode Request” workflow in #fareharborwebsites.
In Airtable, the PC/PM should check “Going live in Dormant Mode” on the project record.
Once the SP AM responds on the Dormant Mode Request workflow with a link to the spreadsheet of the curated FHDN activities, the WCS will need to duplicate the homepage, build out the FHDN activities, then include them in an “Other Activities” row directly under the jumbotron of the duplicated homepage.
The PC/PM can still send the client login access but the access level should be Subscriber.
The PC/PM need to update the Dormant Mode field to “On” in Close when they send the site live.
Account Management
If the client request for Dormant Mode comes through the AM, the AM can either ask the client to submit the request to LSS or they can submit the request for the client.
AMs should verify that the client does not have live avails for the months a client is requesting to be in Dormant Mode. If they do have live avails, the AM should explain the requirements for Dormant Mode.
- If the client has future live avails and would like to turn those off in order to go into Dormant Mode, the AM should assist with turning those offline.
While a client is in Dormant Mode, AMs should not forward any website requests to LSS and should remind the client that they are in Dormant Mode if they see requests being sent to LSS.
Strategic Partnerships
Strategic Partnerships will be responsible for curating 3-6 activities from the FHDN to include on a client’s Dormant Mode homepage.
Once chosen, they will create a spreadsheet with all of the details the LSS will need to build the affiliate activities on the client’s site. They will respond in the Dormant Mode Request workflow with a link to the spreadsheet.
Operations
Operations will be responsible for pausing billing for sites going into Dormant Mode.
