Airtable Reporting Guide

The FHS quality checkers defined by the FHS Data Usage Guide should produce a quarterly spreadsheet and Airtable Interface to extract insights from the FH Sites CHecks table. These insights are shared promptly with management to streamline performance improvement.
This document details the process for producing or sharing those deliverables.
The Spreadsheet
The quality Spreadsheet is intended to be a comprehensive, historical record of feedback trends. It contains all the possible feedback from each round of checks, segmented by region.
- Copy the spreadsheet template (if 1st quarter in a new year) or open the existing spreadsheet (for quarters 2-4).
- Open the FH Sites Checks table, then navigate to the All First Round Checks – Quality Metrics view.
- Open the view Filter and match the “Created” date filters to the start and end of this quarter’s reporting window
- The reporting window should be inclusive and reporting should complete in roughly the following week
- For example: The first quarter can be January 2, 2024 – March 18, 2024, the reporting window follows from March 19 to March 24, then the next quarter’s data includes the reporting window as well (March 19 – June 18)
- Add a new condition:
- The first field (by default “Name”) should match the checks criteria category you are compiling data for. For example: “Mobile Review”
- The second field (by default “contains”) should be “is not empty”.
- This will display only check records that contain applicable feedback. In the bottom left of the view is a sum of all applicable records.
- Use this method to record the number of unique sites in each category of feedback.
- To find the number of sites affected by specific criteria (for example: “Favicon missing”), change the second field to “has any of” and select the specific criteria in the third field.
- Repeat this method for all individual criteria.
- Once you have populated all cells for First Round checks, delete the filter condition you created in step 4 and repeat steps 3-6 in the All Live Round Checks – Quality Metrics view.
- Once you have populated all cells for Live Round checks, delete the filter condition you created in step 4 and repeat steps 3-6 in the SEO Checks Metrics view.
The Airtable Interface
The Airtable Interface will help investigate the individual sites that are included in over-threshold criteria. It only contains over-threshold criteria compared to the spreadsheet, which contains all criteria. Being within Airtable, it’s more interactive than the spreadsheet and allows viewers to see the communication between PC and WCS during the build for additional context.
- Visit the FH Sites base, but toggle from Data to Interfaces in the top left corner.
- Click on the FH Sites drop down in the top left corner of the Interface screen, then Edit.
- Add a new page to the current year’s FH Sites Checks [Year] option.
- Hover your cursor over the title and click the “+” that appears to create a new page or duplicate a previous quarter’s interface from the same year.
- Current Interface layout is:
- Text – Large Heading: [Check Round]
- Divider – Wide
- Text – Medium Heading: [Checks Criteria, total sites affected]
- Grid – Source: Checks
- Permissions – View only, allow users to open record details
- Copy settings from a view: [All First Round Checks – Quality Metrics], [All Live Round Checks – Quality Metrics], or [SEO Check Metrics]
- OR Specific Records – Conditions:
- Where [Check Round] is [Check Round]
- Where [Checks Criteria Category] has any of [Over-threshold Criterion]
- Created is after exact date [beginning of reporting period]
- Created is before exact date [end of reporting period]
- Options – Group by WCS Region or WCS
- Repeat layout for as many over-threshold criteria reported that quarter.
The Check In Meeting
Each quarter, the FHS quality checker will host a closed meeting to summarize the data for stakeholders, discuss potential remedies to issues discovered, and assign action items for the upcoming quarter.
To help run an efficient meeting with so much data to cover, there is a meeting agenda template.
Please copy the template and fill out with appropriate data highlights at least a few days before the meeting. It should be shared with stakeholders ahead of the meeting.
