Zapier Integration

Zapier is an automation tool that enables the transfer of information from one platform to another, and offers integrations with hundreds of third-party applications. The FareHarbor app in Zapier can be used to send updated booking information to a Google Sheet or Calendar, create invoices, add customer information to a CRM, and more.
How FareHarbor interacts with Zapier
You can connect your FareHarbor account to your Zapier account using an API key that is generated directly from within FareHarbor. After you enter your API key in the FareHarbor app in Zapier, and based on booking actions (“triggers”) determined by you, the booking data will automatically flow through Zapier to the third-party app. The connections between Zapier and the third-party apps are known as zaps.
For example, when a customer purchases a ticket for one of your events or activities, information can automatically flow from FareHarbor through Zapier to populate or update the external application.
Templates
In order to simplify some of the most commonly used scenarios, FareHarbor has provided templates in Zapier that allow you to easily configure a Zap. Click on the template links below to:
- Update a Customer Relationship Management (CRM) system (such as ActiveCampaign)
- Create rows in Google Sheets when new FareHarbor bookings are made
- Add customers from new FareHarbor bookings as subscribers in Mailchimp
- Integrate with invoicing systems such as Xero or Zoho
- Post to a Slack channel when a booking is updated or cancelled
- Create QuickBooks Online sales receipts from new FareHarbor bookings
- Creating paid orders in Square from FareHarbor retail item bookings>
- Managing inventory in Square for FareHarbor retail items

Setting up the FareHarbor app in Zapier
Integrating FareHarbor with Zapier is a simple self-service process that requires an API key associated with your FareHarbor user account.
Adding the API key to the FareHarbor app in Zapier
- Log in to Zapier using your Zapier account credentials.
- Search for FareHarbor when prompted for the name of the app you want to use.
- Select the trigger that determines when data from FareHarbor is to be sent to Zapier.
- Click Sign in to FareHarbor on the Choose Account prompt.
- Enter your FareHarbor API key to grant Zapier access to FareHarbor. (Note: If you do not already have a FareHarbor API key for use in Zapier, follow the steps below.)
- Click Yes, Continue.
Creating the Zapier API key in FareHarbor
- Log in to FareHarbor.
- Click your name in the top-right of the Dashboard and select Your Account to open your Account Settings.
- Click the API Keys tab.
- Click + Add API key.
- Enter Zapier API key in the name field, and verify that the Create Zapier API key checkbox is selected.

- Click Create.
You have successfully created the Zapier API key.

- Copy the API key to your clipboard.
- Return to Zapier and paste the API key created above in the API key field.
- Click Yes, Continue to complete the process.

Note: The type of data from FareHarbor that can be sent to Zapier is dependent on your user permissions in your FareHarbor account. For example, if you are a member of a User Permissions Group that does not have the ability to view payment information, you cannot integrate that information into Zapier. Additional Zapier tips
How to extract specific Custom Field values in Zapier
Data isn’t always in the format you need. Perhaps a date is in International format, but your app requires it to be in American format. Or maybe you need to a subject in title case, truncate text for a tweet, or turn Markdown text into HTML for your blog. Zapier’s Formatter tool can help. The Formatter tool allows you to select which information you want and the format in which you want it to be. Learn more about how to use this tool below.
After properly connecting one of the three FareHarbor triggers, follow these steps to connect it to Zapier’s Formatter tool:
- Open the Formatter tool in Zapier.

- Click Utilities under the Choose Action Event dropdown, then click CONTINUE.

- Navigate to Customize Utilities and select Line-item to Text on the Transform dropdown.

- Select the option that represents all field values you want to extract in the Values > Input field. A common option may be Booking Custom Field Values Display Value.

Click Continue > Test > Continue when finished.
Click
to connect to the desired app. In the example below, we will connect to Google Sheets.- Select the information you want to include. Click Utilities in Zapier, which will open different line items that contain your Custom Field values.

- Click on the line item that has the information you want to include. In this example, any comments from the booking, “Allergy to shellfish” are included.

You can now continue to create the Zap normally, and the fields you have configured will be reflected in the Zap.
How to split a Custom Field into multiple line items in Zapier
Sometimes, a field in FareHarbor contains information that should be split into multiple line items in Zapier. You can configure Zapier to recognize when to do this by following the steps below:
- Open the Formatter tool in Zapier and select Text from the Choose Action Event dropdown.
. Navigate to Customize Text and make the following selections:
- For Transform, select Split Text.
- For Input (under the Value heading), select Booking Contact Name.
- For Segment Index, select All(as Separate Fields).

The options under Text should now show two different outputs:

You can now continue to create the Zap normally, and the fields you have configured will be reflected in the Zap.
The two options described above are common uses where you can take advantage of the FareHarbor app and Zapier. If you have any questions related to Zapier, please contact the Zapier support team.
Internal-only content. Don't copy and paste to anyone.
By default, only one Zapier API key can be created by a user. Once created, users cannot edit or delete that API key. If, for some reason the key needs to be modified or the user already has a key, add the permission Create and edit API keys (Edit their permission group > Setup > Channel > Create and edit API Keys).

FareHarbor does not have any Zapier experts, as the integration was created to be self service. If a client is struggling configuring their zaps, and are not getting the answers they want from Zapier, suggest the client join FHCommunity and ask fellow operators for advice.
