Checking your affiliate rates

Keeping your pricing accurate in FareHarbor is essential to ensure your customers always see the correct rates when booking. It prevents confusion, avoids refund or adjustment issues, and guarantees that your affiliates (partners who sell your activities) are getting paid exactly what is expected.
Regularly verifying your pricing also helps your listings stay competitive and builds trust with your customers, creating an overall smoother experience.

Why is it important to check your prices?
Once our team has completed your price sheet updates, it’s important that you review them directly in your Dashboard. This helps ensure that everything looks and works as expected.
Here’s why it matters:
- Avoid incorrect prices: Double-checking helps catch any mistakes before customers are potentially charged a wrong amount.
- Seasonality: If you use different prices for different times of the year, reviewing your rates ensures the correct amounts are applied for the right dates.
- Affiliate accuracy: If you work with affiliates or resellers, it’s important to confirm that each partner reflects the correct agreed-upon pricing structure.
- OTAs & API fee: Online travel agencies (OTAs) may or may not have the option to synchronize rates with FareHarbor. If rates are synchronized but incorrect, the OTA will display inaccurate prices to customers. If rates are not synchronized but are still incorrect, the API fee—calculated based on the FareHarbor rate—could lead to incorrect charges.
Verifying this information yourself adds an extra layer of control and helps avoid issues like refunds, miscommunication, or lost revenue.
How to check your prices
There are three main ways you can confirm that your updated rates are correct:
- Simulating a booking
- Affiliate settings
- Price sheets overview
The video below walks you through each of these methods step by step. Each option is also explained in more detail in the sections underneath.
Simulating a booking
The easiest way to verify your prices is by simulating a booking, without finalizing it, directly on your Dashboard.
To simulate a booking:
- Navigate to your Bookings calendar.
- Click on the item and availability you would like to use for the check > click + New booking.
Select the affiliate you would like to check the pricing for via the Affiliate dropdown menu.

Based on the availability date and the affiliate selected, the system automatically displays the price associated with their assigned price sheet.

This allows you to confirm that the correct rates are being applied without needing to complete a real booking.
Affiliate settings
Another way to confirm your pricing is by reviewing the affiliate settings on your Dashboard.
To check your affiliate settings:
- Go to Settings > Affiliates.
- Locate the affiliate you’d like to check.
Click on the corresponding pencil icon under the right-hand side column (Actions).

This opens the affiliate’s settings, where you can see which price sheet (Total pricing) and invoice sheet (Invoice pricing) are currently assigned to them. If you click View and edit in Price Sheets settings, you get a detailed overview of:
- All the different prices assigned to this affiliate.
- If they have seasonal pricing.
- Their associated commission.

By using this method, you can verify all the different prices assigned to each item and customer type at a glance, without having to select an availability for each item individually or having to tag the affiliate manually.
Price sheets overview
Another way to confirm affiliate rates is by accessing the price sheet overview on your Dashboard.
This page provides a comprehensive view of all existing price sheets and allows you to quickly verify the pricing and commission associated with each, regardless of whether they are currently assigned to an affiliate or not.
To access the price sheet overview:
- Navigate to Settings > Price Sheets.
Click on the Overview tab.

Select a price sheet via the Prices and visibility dropdown menu.
On the Overview page, you can select and view both price sheets and invoice sheets at the same time. This makes it easy to compare rates, commissions, and configurations across different sheets.

Note: To select multiple sheets at once, you can use the following shortcuts depending on your operating system:
- Mac (iOS): Hold down the Option (⌥) key while clicking each price sheet.
- Windows: Hold down the Alt key while clicking each price sheet.
Just like on the Settings > Affiliates page, all items and customer types will be visible along with their current prices for each selected sheet.

Frequently asked questions (FAQs)
Why is the price not being reflected on my API partner’s end?
Some API partners can automatically synchronize prices with FareHarbor. In that case, any update you make in FareHarbor will also appear on the partner’s side. However, not all partners support this feature. For those that don’t, you’ll need to update the prices both in FareHarbor and in the partner’s system. Please note that the end-customer will always pay the price set on the partner’s side.
Why do my reports or invoices in FareHarbor not match the ones from my API partner?
This usually happens with API partners that do not synchronize prices with FareHarbor. If a rate update was only made in one system (FareHarbor or the partner’s), the retail prices in reports will not match. As a result, the commission amounts may also differ and will need to be reviewed.
