Splitting customers on a booking

In some cases you may need to rebook some—but not all—customers on a booking. For example, let’s say two members of a five-person party are unable to attend on the originally booked date, and ask if you can reschedule them to a different time.
You can accomplish this by following three main steps:
- Use “New booking for contact” to move customers to a new booking.
- Remove the customers from the original booking.
- Adjust payment on both bookings to mark each as Paid in Full.

1. Create new booking for rebooked customers
Use the “New booking for contact” option to automatically fill in existing contact information and custom field answers.

- Find and open the existing booking.
- Click New booking for contact (located near the top of the booking, directly below the customer’s contact information).
- Select the availability you want to rebook to, and click New booking.
- Adjust the customers on the booking as needed.
- Under payment options, select Don’t add payment now.
- Click Complete booking.
2. Remove customers from original booking
- Open the original booking.
- Click the Add or remove customers button (located under Booking Actions).
- Remove the rebooked customers.
- Click Rebook now to update the original booking.
3. Adjust payment on both bookings
To ensure accurate reporting, we recommend adjusting payment on both bookings so that each are marked Paid in Full. You have two options for doing this:
- Issue a partial refund on the original booking and add payment on the new booking.
- Balance payments on both bookings using line items.
Option 1: Partial refund + new payment
This option is ideal if you want to provide receipts showing that part of the original payment was refunded and “moved” to the new booking.
- Open the original booking.
- Under Booking actions, select Refund.
Select the Partial refund option.

Note: If there is more than one payment on the booking, be sure you select the correct payment to refund.
In the Refund amount box, enter the amount to be refunded. This should be equal to the amount due on the new booking.
Optional: Check the Send refunded email box to send a notification to the customer.

The Refund button will display the amount to be refunded. Confirm the amount is correct, then click the button to initiate the refund.
Open the new booking.
Under Booking actions, select Add payment and create a new payment for the amount due.
Optional: Send a confirmation email for the new booking using the Send email or text button.
Option 2: Balance payments using line items
- Open the original booking.
- Scroll down and click Add expense or discount (located on the left side of the booking, above the subtotal and total).
- Enter a description (for example, “Rescheduled customers”).
- Enter the overpaid amount that appears at the top of the booking.
- Click Add.
- Open the new booking and repeat steps 2-3.
Enter the amount due, and include a minus sign in front of the amount; for example:
-$20.00.
Click Add.
Confirm that both bookings are now marked Paid in Full. If you want, you may also send an updated confirmation email for the original booking, and/or a confirmation email for the new booking.
