Working with affiliate blocks

Blocks allow you to reserve a certain number of seats on an availability to be booked by affiliates.
Blocked seats on an availability are not bookable to online customers. For example, if your availability capacity is 10 and you’ve blocked 4 seats for an affiliate, customers booking online will only see 6 spots available for that date and time. Logged-in users with permission to overbook will see 6 spots available, and will be warned that they’re overbooking if they exceed that number.
Blocks can be added or removed for a single availability or for multiple availabilities at once. Click into the sections below to learn more.
Note: Affiliate blocks will only be available when the availability has a capacity specified.
Adding and removing blocks for a single availability
Adding a block
- Find and open the desired availability.
- At the top of the availability settings, you will see a toolbar displaying the number of blocks that have been added to the availability. Click on the number of blocks to open the blocks menu.
- Click Add block.
- Choose an affiliate from the dropdown list.
- Enter the number of seats to reserve for the affiliate.
Click Add Block.

Removing a block
- Find and open the desired availability.
- At the top of the availability settings, you will see a toolbar displaying the number of blocks that have been added to the availability. Click on the number of blocks to open the blocks menu.
- Click the Edit icon next to the affiliate whose block you want to remove.
- Click the Remove button.
- Click OK when prompted to remove the block.
The number of blocks will automatically be updated on the availability’s settings.
Adding and removing blocks for multiple availabilities at once
You can use the availability updater to add or remove blocks for multiple availabilities at once.
Adding a block using the availability updater
Go to the Bookings section of your Dashboard.
From the toolbar, open the Advanced menu and select Update availabilities (Note: to access the updater from a specific item, follow these steps instead).

In the first section of the updater (under Add & Remove), select Blocks.
In the second section, select which availabilities to update by adjusting the date range and items. If needed, you can also narrow down availabilities using filters. Read more about these options.
At the top of the third section, select Add.
From the dropdown menu, select the name of the affiliate for which you’re adding a block.
Enter the Capacity (number of spots to be blocked off) for the selected affiliate.
Click Preview changes to confirm the number of availabilities that will be changed.
Click Complete update.
Note: During the Preview changes step, you’ll see a message telling you how many availabilities will be changed. If no availabilities will be affected, double check that you’ve selected the correct options, make any needed adjustments, then click the Preview button again.
Removing a block
To remove a block from multiple availabilities, follow the steps above but select Remove during step 5. Choose whether to remove a block for a specific affiliate or all affiliates, then complete your update.

Making a booking using seats allocated to an affiliate block
- Open the availability for which you want to make a booking.
- Select the name of the affiliate from the drop-down Affiliate menu, and add the voucher code (if applicable).
- Select the affiliate’s agent and location from the AGENT fields.
Make sure to select (enable) the Book into the seats blocked for [affiliate name] checkbox. If left unchecked, this booking will not be taken from the assigned block.

Viewing blocks on the booking calendar
You can view the number of bookings allocated and the total number of bookings remaining for your affiliates at a glance directly from the booking calendar.
Note: You need to have the View blocks menu permission enabled for your permission group in order to see the total number of bookings allocated to your affiliates.

You can see the number booked into affiliate blocks, as well as the number of available bookings for that block by enabling the # blocked into affiliate blocks and #available to book into affiliate blocks settings on the calendar:

The icons on the availability correspond to the icons in the settings, as shown above.
Note: To always show the calendar with these settings enabled, be sure to create a custom calendar, otherwise you will need to enable these settings each time you view the calendar.

Note: if you do not see affiliate blocks listed, this means either you do not have permission to view them, or no blocks have been added to this availability.
Frequently Asked Questions
I had selected to view the # booked and # available to book into affiliate blocks setting(s), but they are not shown when I open the calendar. What could be the cause?
If you enable these two settings while viewing a calendar, but don’t create and save a custom calendar for that view, the next time you open the calendar you will have to re-enable the desired option(s).

Limitations to affiliate blocks
- Currently, affiliate blocks reserve space for an affiliate. This removes that capacity from bookable capacity, only that affiliate can book into those blocked seats.
- Charter companies can book into blocked spaces for the specific affiliate.
- Affiliates can book into their blocked spaces through their Dashboards.
- ASN book buttons will reflect the spaces available in their block.
- Affiliate blocks can be overridden by APIs.
- There is no current way to report on affiliate blocks.
- A capacity must be set on the availability for the blocks to be set up.
- There is no release capacity mechanism.
